The purpose of the role is to:\n\nâ¢\tOffer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone\nâ¢\tReceive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way\nâ¢\tUndertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team\nâ¢\tFacilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies\n\nMain Job Responsibilities:\n\nReception Duties:\nâ¢\tTo provide cover for members of the administration team during periods of sickness and annual leave.\nâ¢\tSorting and scanning daily mail\nâ¢\tFiling results and any other relevant documents in patients' notes electronically.\nâ¢\tAnswering the telephone and conveying messages \nâ¢\tAccepting requests for repeat prescriptions, checking the fax and prescription box for repeat prescription requests\nâ¢\tRecord requests for repeat prescriptions in line with Practice Policy\nâ¢\tPrepare repeat prescriptions in line with Practice Policy\nâ¢\tArranging transport for patients where necessary\nâ¢\tIntake of money for private fees and providing a receipt to the patient and recording the charge in the Petty Cash book in line with Practice Policy.\nâ¢\tPeriodically checking the fax to make sure it is operational and has an adequate paper supply before leaving in the evening\nâ¢\tKeeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter\nâ¢\tRecord smears through SCCRS/Docman\nâ¢\tRecord requests for house calls.\nâ¢\tBe proficient in the use of Import Labs\nâ¢\tMaintain the Workflow within Docman and ensure that actionable tasks are followed through appropriately and recorded as such.\nâ¢\tMaintain Tasks in Vision and ensure that all dealt with timeously.\nâ¢\tPrint off Patient Summaries or extract A4 folders for surgeries and house calls and routine enquiries. \nâ¢\tRead Coding as necessary\nâ¢\tRegister new patients and add onto computer ensuring that all appropriate information is entered in the correct format and that ethnicity is recorded\nâ¢\tSignpost patients to the relevant Health Care Professional, keeping up to date with new systems and processes for signposting.\nâ¢\tMake appointments for patient to see Doctor, Nurse and other clinical staff associated with the practice.\nâ¢\tDeal with new patient imports and exports, including GP2GP process\nâ¢\tReview and action NPT/QFit registers.\nâ¢\tWorkflow administration â review/code all letters in line with Workflow Protocol.\nâ¢\tThe above list of duties is not exhaustive and may be subject to change as deemed necessary. \n As part of your development in the role you will be inducted on to all online systems and processes, learning how to effectively deal with confidential records. You will also be working towards an SVQ in Business Administration. \n\nThe post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:\n\nâ¢\tParticipation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development\nâ¢\tParticipating in Protected Learning Events as organised by CHP/Practice.\nâ¢\tTaking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.\n â¢\tWork effectively with individuals in other agencies to meet patients needs\nâ¢\tEffectively manage own time, workload and resources.\nâ¢\tCommunicate effectively with other team members\nâ¢\tCommunicate effectively with patients and carers\nâ¢\tRecognise peopleâs needs for alternative methods of communication and respond accordingly.\n
