To provide efficient and effective clerical support to outpatient therapy services, promoting a caring and sympathetic environment for patients both in person and on the telephone, ensuring timely attention.
An opportunity has arisen with the Therapy Reception team. The successful candidate will be the first point of contact for patients attending Physiotherapy or Occupational Therapy appointments at King George Hospital, working as part of the Reception Team.
You will need excellent communication and customer service skills to manage a diverse range of patients professionally, both face-to-face and via telephone.
Proficient IT skills are required to operate our internal appointment system, the national ERS system for booking GP-referred appointments, and other relevant systems.
You should be able to work collaboratively within a busy and challenging environment. The role involves:
1. Ensuring the reception desk and phone lines are manned at all times, coordinating with other administrators, and alerting the Therapy Team Lead to cover issues.
2. Validating new referrals, checking for complete information, patient registration status, and service eligibility, returning incomplete or inappropriate referrals as needed.
3. Registering new patients or updating existing patient details on the Patient Administration System.
4. Operating a booking service for first appointments and sending out appointment letters.
5. Answering the telephone promptly to handle GP inquiries, appointment bookings, and patient queries.
6. Managing waiting lists by removing patients who do not attend or fail to make appointments, following protocols, and notifying referrers accordingly, with reinstatement where appropriate.
