Job Summary

Assistant Directorate Manager – A&E Reception, Ward Clerks and Bed Bureau

Full time – 37.5 hours – Permanent

We are currently looking for a highly organised, motivated and efficient individual to join our dynamic Directorate within Clinical Support Services. The post holder will provide support to the Deputy Directorate Manager in the operational delivery and performance management of the Ward Clerk and A&E administrative services ensuring key targets are maintained and sustainedp>


Main duties of the job

This role will be responsible for day‑to‑day management of all Ward Clerks and A&E based administration staff, supporting clinical staff in the delivery of services. The post holder will work with clinical teams to ensure services have the administrative workforce with the capacity and skills necessary to support and deliver high‑quality services. The post holder will manage these departments independently, in line with service requirements and local/national policies. The successful candidate will have experience and knowledge in managing large operational teams.

The successful candidate will be well organised, able to prioritise work, and will manage services that run 24 hours a day, 7 days a week. This requires a flexible approach to working hours across the week, and the ability to devise rotas and systems to meet workload demands and short‑notice leave.

As part of this role, you will support the manager and staff to review, develop and implement processes and systems. Excellent written and communication skills, strong organisational ability, and line‑management responsibilities are essential. You will need to be calm, patient, and possess an excellent customer‑service manner.

Essential

Qualifications

* Educated to degree level or relevant equivalent skills & experience e.g. 5 years’ experience of managing Administration & Clerical services within a large organisation
* High standard of education (A Levels)
* High level of computer skills

Skills/Experience/Knowledge

* Proven planning and organisational skills within a complex environment
* Knowledge of operationally managing within an NHS healthcare setting
* Previous management or supervisory experience
* Minimum of 12 months experience of day‑to‑day A&C management including appraisal and objective setting, recruitment and retention
* Understanding of performance targets
* Experience of utilising information relating to both finance and activity
* Experience of working under pressure and to tight deadlines
* Ability to effectively organise own workload with minimum supervision
* Good written and verbal skills
* Ability to analyse and report data
* Ability to use word processing, spreadsheets, Internet and e‑mail applications
* Demonstrable knowledge and understanding of personnel/staffing issues
* Knowledge of admin procedures
* Experience of dealing with difficult operational issues
* Good oral and written communication
* High level of computer literacy
* Accurate data entry

Desirable

* Knowledge of 18 week processes
* Experience and knowledge of PAS systems (Lorenzo), clinic booking / utilisation and patient validation
