Reed is supporting a Global highly successful family ran company based in Flax Bourton, North Somerset, with the recruitment of a Customer Service & Office Administrator on a full time, permanent basis.
Working: Monday to Friday 9am-5pm
Acting as the first point of contact for customers both via telephone and email, leading by example and being an ambassador for the company. Providing high standard of service and care, including dealing with general queries and referring customers to the appropriate person if necessary.
ResponsibilitiesAnswer telephone enquiries and emails received
Assist customers/suppliers
Deal with general queries in a timely, professional, polite and caring/supportive way
Seek guidance and advice from the office team when dealing with complex queries
Promptly deal with/distribute incoming post and info emails
Responsibility for outgoing mail and deliveries
Co-ordinate and assist with regular Health & Safety checks as defined in the company schedule
Maintain company document archive files
Take monthly energy meter readings and submit to supplier
Assist Marketing Manager in preparation of exhibition and event materials, including arranging logistics, then unpack, check and store materials on their return
Assist Sales Director with the fleet car insurance policy, new car purchases and driving licence checks
Monday review of whose where over the next two weeks. Discuss potential cover required with the team. Book meeting rooms and hospitality as required, this may include arranging travel and dealing with associated payments & required documentation
Manage company calendar – advising colleagues of required tasks. Report any delays or non-completion
Maintain office supplies and required replenishments
Complete and submit Northern Ireland TSS declarations for all orders dispatched
Management of live and dummy samples in the office
Investigate and manage credit claim requests
Download data from 3PL’s and Wholesalers for upload to stock management system
Run the Daily Sales report each morning and distribute to the Sales Team
Receipt and processing of enquiries, reports and customer complaints
Running regular reports and updating records for management and for the Operations Supervisor
