An award-winning FTSE 250 financial services firm based in stunning offices in West London is looking for an Executive Assistant with a ‘can-do’ attitude to join the team and support two C-Suite executives. It requires someone who can calmly adapt to a busy and dynamic environment and who is not easily fazed by last-minute schedule changes. \n\n As a newly created role, it is important that you can add value from day one: you will be able to work independently and have processes to bring to the table, and an understanding of how to build relationships from the start.
Ideally, you will have at least 3 years of prior experience supporting in a similar role. You will be highly organised, efficient and not easily overwhelmed. \n\n It is a fluid, fast-paced and high-performance environment, but also one which is built with culture and people at the heart of the business. As such, it is a highly sociable and fun place to work, and the ideal person will enjoy this environment. \n\n Whilst a standalone role, this position will work collaboratively alongside the Assistant team. \n\n As Executive Assistant, your responsibilities will include:\n\nManaging diaries, coordinating internal schedules for meetings, external visits, appointments and calls;\nSeeking efficiencies and improvements in current processes;\nProcessing expenses;\nProviding occasional personal support, such as booking personal travel and appointments;\nArranging international and domestic business travel for Executives and their guests;\nPreparing ad hoc documents and presentations;\nLiaising with clients, colleagues and others on the Executives’ behalf;\nArranging external lunches and dinners as required;\nPrinting and binding of documents;\nSupporting the organisation of events, including staff parties and training sessions;\nProviding holiday cover for other administrative positions;\nAd hoc tasks as required.\nWe’re looking for an Executive Assistant with:\n\nPrior experience as an assistant, ideally supporting senior executives\nHigh attention to detail and ability to manage multiple priorities\nA flexible and open-minded approach to all areas of their work\nConfident communication skills: happy to approach senior stakeholders\nA self-starting and proactive mentality, enjoying working independently and collaboratively\nA personable, professional approach: this is a people-facing role.\nThis is a hybrid working role, 4 days in the office per week (after probation).
