Offer description

An exciting full-time position as a receptionist and administrator at Woollcombe Yonge Solicitors has arisen. We are about to open our brand-new offices in Bretonside, Plymouth, and we are looking for another receptionist to join our current receptionist on the front desk.

This person will be responsible for meeting and greeting all visitors to the business premises and have exemplary customer service skills in person and on the telephone. They will be operating a busy switchboard and be comfortable being the face of the business for clients and contacts alike. They should feel confident using various telephone, door entry and computer systems, with the ability to take messages and forward information in a timely manner. A good working knowledge of Microsoft Outlook diary and email system, as well as experience of case managements systems, although training will be given. Administrative support including audio typing as required with appropriate IT skills. Responsible for incoming and outgoing mail and other general adhoc administrative duties.

The candidate must have the following essential skills for the role:

* Excellent interpersonal skills and attention to detail.
* A strong user knowledge of IT packages such as Word, Excel and Outlook.
* Be a team player focused on providing an exceptional service with excellent verbal and written communication skills.
* Organisational skills.
* Strong interpersonal skills communicating with clients and visitors.

Tasks will include the following:

* Being the first port of call for all visitors and clients to our new offices.
* Keeping the reception area and meeting rooms clear and clean, and encouraging staff to ensure bookings are made.
* Working alongside our current receptionist and working collaboratively as a team to ensure the reception phone and door is attended at all times.
* Answering the door and calls and forwarding any calls and messages onto the team.
* Making teas and coffees for visitors and seeing they are taken to the appropriate room for their meeting.
* Listening to dictations and typing up letters and notes and saving them to files.
* Using the franking machine and ensuring all incoming and outgoing mail is recorded appropriately and sent out in a timely manner.
* Assisting other teams with administrative duties such as printing, posting, file closing and sorting.

Job Type: Full time. Monday to Friday 9am – 5pm with 1 hour for lunch between 1-2pm.

Salary: Remuneration is competitive and dependent upon experience.

Location: Plymouth, PL4 0BD. Please note this is an office-based role.
