Position Overview:
We are seeking a proactive and highly organised Executive Assistant/Administrator to support our small but experienced team. This role will involve supporting the management of day-to-day operations alongside our Managing Director & Property Manager, handling administrative tasks, and assisting with routine property-related activities. The ideal candidate will be detail-oriented, possess strong communication skills, and have a passion for working in an entrepreneurial environment.
Key Responsibilities:
* Executive Support: Provide high-level administrative assistance to the Managing Director, including but not limited to managing schedules, handling communications, and organising meetings.
* Office Administration: Assist with office operations, including answering calls, managing emails, ordering supplies, and supporting the implementation of office systems and procedures.
* Property Management Assistance: Support property acquisition and management activities, including coordinating site visits, assisting with due diligence, and liaising with contractors, tenants and solicitors.
* Document Management: Prepare and organise important documentation, contracts, and reports related to property transactions and investment projects.
* Communication & Correspondence: Act as a point of contact between clients and third-party partners. Handle client enquiries where appropriate and ensure timely and effective communication.
* Financial & Budget Assistance: Assist with invoicing, expense tracking, and basic financial reporting for ongoing projects where required.
* Project Support: Provide general assistance in managing property investment projects as required.
Skills & Qualifications:
* Proven experience in an executive assistant or administrative role, ideally within the property or investment sector.
* Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
* Excellent verbal and written communication skills.
* Proficiency in MS Office Suite (Excel, Word, PowerPoint) and general office technology.
* Knowledge of property management software is a plus (e.g., Property Management Systems, CRM systems).
* Ability to work independently and as part of a team.
* A proactive, can-do attitude and a problem-solving mindset.
* Strong attention to detail and ability to handle confidential information with discretion.
* A general understanding or interest in residential and commercial property best practice/law and investment is beneficial.
* Full clean driving licence and access to a vehicle
Education & Experience:
* Educated to at least an A-Level standard or equivalent
* Experience in Administrative experience or executive assistant role.
