Job Description: The Senior Organisational Support Officer will implement and maintain efficient administrative, reception, and secretarial services to all CNC Divisions, utilising business processes, systems, and technology. Responsibilities include planning and overseeing duty rotas to ensure effective reception coverage, including out of hours, and managing the performance of the administration team.
The Operational Support Team provides support to CNC Divisions, ensuring value for money and optimal resource utilisation while adhering to budget constraints. The role involves being the first point of contact for support inquiries, possessing in-depth organisational knowledge, and working with stakeholders at all levels.
Responsibilities:
1. Manage administrative functions through effective customer service and process alignment.
2. Plan and implement staff shift and duty rotas.
3. Ensure team adherence to core deliverables and job descriptions.
4. Onboard, train, and develop staff, recognising talent within teams.
5. Liaise with managers to maintain consistent processes across administrative functions.
6. Manage systems and processes supporting efficient service delivery.
7. Oversee communication and security systems operations.
8. Apply technical support knowledge related to support services.
9. Supervise support team resources for training, estates, and meetings.
10. Coordinate internal and external meetings, including logistics.
11. Manage team change initiatives as a Change Manager when needed.
12. Ensure sufficient staffing through duty rotas.
13. Coordinate with service providers and stakeholders to ensure quality and resolve issues.
14. Support procurement processes, identifying efficiencies.
15. Assist with budgeting and monitor expenditure.
16. Provide accurate data for financial reporting and control.
17. Manage meeting room bookings and conferencing facilities.
18. Maintain high-level minute-taking skills.
19. Lead and manage organisational support teams.
20. Handle challenging situations and behaviours effectively.
21. Manage workloads and influence decision-making.
22. Drive successful change initiatives.
