Job Purpose
Reporting to the Head of People Service Centre, the Travel Desk Supervisor is responsible for the effective management of the Travel Desk function to ensure the provision of the one-stop-shop for all travel bookings, including Hotel, Rail, Air and Ferry travel, in line with business requirements.
The role will provide an administrative function, including taking inbound and outbound calls, to ensure an efficient service for meeting the travel requirements of City Colleagues across the business. The Travel Desk Supervisor will also contribute to continuous service improvement through negotiating and securing best pricing for bookings, as well as finalising contracts in relation to conferences and events.
Key Accountabilities
* Manage booking requests in line with SLA (Service Level Agreement) and budget requirements.
* Liaise with colleagues to ensure accommodation is suitable and that details are accurately communicated ahead of travel dates.
* Manage the travel desk booking line to ensure consistent call handling availability and delivery.
* Ensure accuracy and complete input of data within the travel desk application and database.
* Maintain event calendar to ensure ability to secure bookings for accommodation.
* Liaise with providers to negotiate the best possible rate.
* Contribute to Travel Desk specific process improvement as part of continuous business and service enhancement.
* Build rapport across all stakeholders, ensuring a reliable and friendly service is offered to all customers.
* Carry out any additional reasonable ad hoc reporting and administrative functions/tasks in relation to travel activities.
* To ensure policy is adhered to, both within the Travel Desk and by City colleagues, and highlight any discrepancies to the line manager.
* Understand General Data Protection Regulations (GDPR) and ensure compliance is met at all times.
People Responsibility
This role is currently responsible for the direct management of the Travel desk Assistants which includes, but is not limited to:
* Train, develop and appraise their direct reports to ensure they lead and motivate their own team.
* Manage absence within the department and conduct return to work interviews.
* To manage the team’s conduct and capability, apply the disciplinary procedure in accordance with D&G Policy.
* Ensure the team have access to correct information to carry out tasks accurately.
Knowledge, Skills And Abilities
* Knowledge or previous experience working within travel booking advantageous.
* Ability to effectively prioritise and delegate tasks within a team.
* Visibly demonstrate enthusiasm and positive behaviour.
* Strong attention to detail and accuracy of work.
* Degree of flexibility with regards to working hours.
