One Property Recruitment is delighted to be partnering with a well-established and reputable property company in Poole. This is a fantastic opportunity for an experienced Personal Assistant to provide dedicated, full-time support to the Director of Block Management. This is a pivotal role requiring strong organisation, discretion, and the ability to manage multiple priorities across a busy residential property portfolio. You will play a key part in ensuring the smooth oversight of developments, managing agents, contractors, and leaseholder communications.
Key Responsibilities
* Diary & Executive Support
* Full diary management and prioritisation
* Scheduling meetings and preparing agendas
* Attending meetings, taking accurate minutes, and tracking follow-up actions
* Managing travel arrangements where required
* Maintaining organised and structured document filing systems
* Updating and maintaining spreadsheets, trackers, and internal reports
Communication & Correspondence
* Managing and screening emails on behalf of the Director
* Drafting professional responses to colleagues, stakeholders, managing agents, leaseholders, and contractors
* Logging and tracking ongoing issues to ensure timely resolution
* Ensuring consistent follow-up on outstanding matters
* Maintaining accurate electronic and hard copy filing systems
Additional & Ad Hoc Responsibilities
* Preparing reports, board packs, and presentations
* Updating databases and maintaining accurate records
* Compiling documentation for disputes or tribunal cases
* Organising training sessions or stakeholder eventsMaintaining KPIs and reporting dashboards
* Identifying and improving internal processes
* Researching legislative updates relevant to block management
* Supporting and managing administrative projects
Essential
About You
* Proven experience as a Personal Assistant or in a senior administrative role
* Strong organisational and time management skills
* Excellent written and verbal communication skills
* High attention to detail and accuracy
* Proficiency in Microsoft 365, particularly Excel
* Ability to handle confidential and sensitive information with discretion
Desirable
* Experience within block or property management
* Understanding of leasehold legislation
* Familiarity with property management software
