We are looking for an enthusiastic individual to join our Oncology team as an Outpatient Coordinator. You will work with the Administration teams and the Supportive Management team to ensure staffing levels and patient flow through the department.
Responsibilities
* Support the Administration Manager in the day‑to‑day supervision of outpatient teams.
* Work closely with Service Managers to maintain and enhance service quality.
* Oversee booking of appointments and procedures, ensuring referrals and requests are dealt with efficiently and targets are met.
* Monitor and utilise cancer wait slots to meet national waiting time targets.
* Use initiative and work independently, taking control of specified duties and escalating issues to the Service Manager where necessary.
* Supervise the administrative team, including induction of new staff, prioritising workloads and motivating staff to achieve objectives.
* Coordinate referrals and bookings according to urgency/pathway, including 2WW, urgent and routine appointments.
* Review clinic utilisation and coordinate patient flow to meet cancer targets and KPIs.
* Identify potential problems early, liaise with clinical and non‑clinical colleagues at all levels, and communicate issues proactively.
* Handle enquiries from staff and the public by telephone and in person, providing advice or referring elsewhere as appropriate.
* Identify and provide appropriate training for staff to improve performance and support career development in accordance with Trust policy.
* Coordinate annual leave to maintain adequate staffing levels and raise any shortfalls to the Admin Manager.
* Advise and support staff on Freedom of Information and patient confidentiality in line with current legislation.
* Manage and coordinate patient bookings following outpatient standard operating procedures (SOPs) and keep SOPs updated and audited.
