About the Role
As a Contracts Administrator, you will support both our office teams and onsite operational staff. You'll be responsible for coordinating contract documentation, communicating with residents and clients, organising appointments, and maintaining accurate project records. Your work will contribute directly to customer satisfaction and the smooth delivery of our projects.
Key Responsibilities
Contract & Project Support
* Provide administrative support to contract and project teams, ensuring all information is accurate, organised, and up to date.
* Prepare and maintain digital contract/project files, including pre‑works and post‑works packs.
* Attend and assist with contract progress meetings, taking notes and distributing relevant documentation.
* Manage supply chain orders, including materials, waste carriers, contractors and other suppliers.
Customer & Resident Coordination
* Act as a key point of contact for residents and clients, providing clear and timely communication.
* Arrange appointments for surveys and works, making pre‑works and reminder calls.
* Support residents through the works process, gathering required information, providing guidance packs, and monitoring satisfaction.
* Assist in managing feedback, queries and complaints in line with company procedures.
Documentation & Reporting
* Produce documents in Outlook, Word, Excel, PowerPoint and maintain accurate electronic filing.
* Collate customer satisfaction returns and highlight themes or issues to management.
* Scan and distribute certificates, H&S documents, and completion files to relevant stakeholders.
General Administrative Duties
* Carry out day‑to‑day office tasks including handling post, photocopying, printing, and maintaining office supplies.
* Update systems, trackers and databases, ensuring high levels of accuracy.
* Support company initiatives, community engagement sessions and resident communication events when required.
About You

* Previous experience within an administration or customer service‑focused role.
* Strong verbal and written communication skills.
* Excellent organisation, accuracy and attention to detail.
* Confident using Microsoft Office (Word, Excel, Outlook).
* Ability to prioritise and multi-task under changing deadlines.
* Positive "can-do" attitude with flexibility and initiative.
* Comfortable working independently and as part of a team.
Desirable
* Experience in contract administration, housing, construction, or project coordination.
* Customer Service qualification.
* Confidence in suggesting improvements to processes or service delivery.
