We are seeking a detail-oriented and proactive Financial Administrator to join our Project Management team, focusing on the financial aspects of the client projects within Clinical Supply Services. This role is pivotal in ensuring accurate forecasting, billing, and financial reporting, while supporting cross-functional teams and driving continuous improvement.
This is a site based position, Monday to Friday, at our Bathgate facility.
The Role:
1. Lead the implementation and ongoing refinement of project forecasting and billing processes.
2. Track billing milestones, assess accruals, and liaise with Finance to ensure timely reporting and resolution.
3. Collaborate with Project Managers to forecast planned, won, and potential opportunities, ensuring revenue accuracy.
4. Provide monthly reconciliation of forecast vs actuals and report findings to senior management.
5. Support client account management, including aged debt reduction and credit coordination.
6. Monitor and validate recorded hours via Toggl, ensuring accurate billing of project management fees.
7. Maintain and update internal systems and reports related to clients, studies, and invoices.
8. Assist in data analysis and departmental training as needed.
9. Promote environmental sustainability through company initiatives.
The Candidate:
10. Exceptional communication skills, both written and verbal.
11. 1–3 years’ experience in customer service or a business-related role preferred.
12. Strong IT proficiency with excellent time management and organisational skills, including advanced working knowledge of Excel functions such as IF statements and pivot tables.
13. Ability to work collaboratively and manage multiple priorities with a high level of professionalism
14. Data driven, keen eye for detail
