Overview
An opportunity has arisen for an Operational Manager based within the Cleaning Services Department at Huddersfield Royal Infirmary. We are looking for a self-motivated person with a positive attitude and proven leadership and managerial skills within a Facilities Management environment. The successful candidate will be responsible for the operational day-to-day management of Cleaning Services with flexibility within the role to be discussed at interview. The role involves managing relationships and communicating effectively with colleagues, patients, and stakeholders.
Responsibilities
* Responsible for the operational day-to-day management of Cleaning Services delivered to Calderdale and Huddersfield NHS Foundation Trust, ensuring quality services are delivered in compliance with relevant service specifications and key performance indicators.
* Ensure the continuous delivery of services and respond to service failures in a timely manner; implement all associated policy and procedures as required.
* Assist in the planning and delivery of Facilities Services in accordance with client requirements, service specifications, National Standards of Healthcare Cleanliness, and best practice guides.
* Manage the operational function of Cleaning Services and ensure sufficient numbers of staff are available to deliver quality and timely facilities services; reallocate duties to cover staff shortages as needed.
* Develop and deliver appropriate work schedules, frequencies, and programs to ensure services are compliant with relevant standards.
* Undertake surveys/audits as necessary to manage performance; compile reports and ensure task action sheets and related paperwork are completed.
* Assist in the specification and quality control of Facilities Services; plan and implement associated work practices and procedures.
* Organise stock control of consumables; respond to service delivery issues in a timely and professional manner.
* Assist with monthly team meetings, toolbox talks, and provide information on Facilities Services when required.
* Meet with service users and providers regarding Facilities Services; communicate in writing and verbally to all levels of staff.
* Provide and receive technical and non-technical information to inform colleagues, patients, and clients; communicate effectively to senior management where relevant.
* Assist in the development and implementation of changes to service delivery including changes in statutory/mandatory requirements; adopt a partnership approach with the Head of Facilities.
* Attend meetings with Senior Management, Stakeholders, and Steering Groups as required; communicate with colleagues, patients, and staff.
* Deal with problems, interruptions, or service emergencies; provide information and advice to Trust senior managers, users, clients, contractors, and NHS networks regarding operational delivery of Facilities Services.
* Undertake training as required to fulfil the responsibilities of Operational Manager; resolve service issues and failures using personal knowledge and experience.
* Analyse performance information related to the operational delivery of Facilities Services; take required actions to recover failed standards and escalate as appropriate.
* Maintain accurate, computerized databases and records related to Facilities Services; monitor internal processes and service requirements (e.g., performance standards, time and attendance).
* Ensure performance and service data is reviewed, analyzed, and recorded in the department’s database; disseminate technical information as required.
* Ensure all Cleaning Services works are responded to in an effective and timely manner to maintain a suitable patient environment; provide clear information to patients and visitors when asked.
* Manage Facilities Services budgets, provide reports, and conduct monthly reviews; ensure financial information is input into the department’s database and ensure the safe and effective use of equipment, stock control, and supplier invoices are checked and authorized.
* Meet all KPIs and budget requirements; identify and address poor practice leading to financial loss and report to the Head of Facilities.
* Recruit, appoint, induct, train, and retain staff; ensure staff receive appropriate training in line with National NHS guidance, current legislation, and Health & Safety guidance.
* Maintain staffing levels, reconcile backlog hours, and provision agency staff or subcontractors as required; support personal development plans for in-house and contracted staff.
* Ensure adherence to corporate disciplinary and grievance procedures, sickness absence, and HR-related policies; motivate staff and deliver service reviews, audits, and assessments to ensure effective service delivery teams.
* Receive, review, and interpret information related to Cleaning Services; communicate service priorities, plans, and objectives to all staff groups.
* Develop and implement changes in service delivery, including statutory and mandatory requirements; resolve operational issues and interpret complex data and performance information related to Facilities Services.
* Provide operational HR advice to in-house and contracted staff regarding working conditions, benefits, training, and Health & Safety.
* Undertake other duties as required as part of the role.
Qualifications/Requirements
Essential: experience and proven leadership in Facilities Management; strong interpersonal and relationship-building skills; ability to work flexibly and manage stakeholders at multiple levels. Ability to analyse performance data and manage budgets and staff effectively. Ability to communicate clearly in writing and verbally with staff, patients, and clients. Knowledge of National Standards of Healthcare Cleanliness and relevant NHS guidance.
