Patient Admin Services Outpatients Team Leader

An exciting opportunity has arisen for a dedicated Team Leader within our Patient Admin Team at the Birmingham Women’s Hospital. We are looking for a dynamic and enthusiastic person, with a flexible approach, to provide support to the team, ensuring a first‑class service is delivered to our patients. The post holder will ensure all administrative processes are followed, in providing a streamlined service to our patients. If you are passionate about supporting quality patient care within the NHS, then this might be the role for you.
Main duties of the job
The role primarily involves answering the phone, managing patient appointments, assessing workloads, managing rotas and providing supervision, training and support to a large admin team. The post holder will sometimes as/when required, to cross‑cover other area’s supporting other team leaders. Applicants will need excellent organisational skills, a flexible approach to work and possess an empathetic nature to be able to confidently deal with patient queries. We are looking for someone who will encourage the team and be a reliable and consistent point of contact when needed. This comes at an exciting time, as we are now working on a new electronic PAS system called EPIC.
Qualifications
* NVQ level 4 or equivalent knowledge and experience. Educated to GCSE or equivalent level - English & Mathematics
* Willingness to undergo further training and development in order to fulfil the role
* Training in Equal opportunities and /or recruitment and selection
Knowledge & Nature of Experience
* What level of experience is required for this post?
* Proven knowledge and experience of working with Patient Records / Booking processes
* Previous reasonable NHS experience (working to A&C band 3 or above)
* Knowledge of Patient Administration Systems & PC experience
* Customer service and front line Skills.
* Previous Experience of working in Appointment Booking office function / knowledge of Booking procedures and processes or other health records roles
Analytical anfd Judgement Skills
* Clear oral and written communication skills & good inter‑personal skills
* Able to meet deadlines in a pressurised environment
* Able to prioritise workloads
* Proven knowledge of the DPA '98
* Previous supervisory role
* Experience of participation in service and quality improvement
* Working knowledge of Health & Safety in the Workplace legislation
* Experience of participation in service and quality improvement
Professional/Managerial/Specialist Knowledge
* Computer skills- be fully conversant with Patient Administration system other relevant computer systems
* Be experienced in the use of Microsoft office and Excel
* To be able to deal with competing demands and interruptions
* To have experience of working with/an understanding of national waiting list targets and waiting list management
* Ability to concentrate frequently when inputting data and answering queries
* Ability to show empathy and understanding towards individual staff needs
* Willing to learn and develop work role in line with Performance Development expectations
* Articulate, methodical and able to work well within a team. Polite and Self motivated
* Ability to manage a diverse and changing workload
* To have experience of working with/an understanding of national waiting list targets and waiting list management
