Building Manager - Vibrant Architecture Office

We are seeking an experienced Building Manager to take ownership of the facilities and operational management of a large, vibrant London office! This is a hands-on position that goes beyond traditional office management - you'll oversee the performance of all core building systems, ensure compliance with health & safety, manage external contractors and service providers, and lead a small admin team to deliver a safe, efficient, and well-functioning workplace.
This role is ideal for someone with facilities experience in larger scale buildings who is confident working with BMS, HVAC, and wider building infrastructure while still being happy to roll up their sleeves on day-to-day office needs.

Key Responsibilities
Facilities Management
1. Oversee operations of building systems (HVAC, electrical, fire safety)
2. Strong working knowledge of building services/controls, i.e BMS (Building Management Systems), FCUs (Fan Coil Units), and HVAC systems
3. Monitor BMS data to optimise building performance, identifying/resolving issues
4. Coordinate planned preventative maintenance (PPM), inspections and repairs
5. Manage building security procedures and access control
6. Support sustainability initiatives, implementing energy-saving measures
Health & Safety
7. Act as the primary contact for all H&S matters
8. Conduct and review risk assessments and ensure compliance
9. Maintain up-to-date H&S policies/procedures
10. Organise fire drills/first aid training
11. Track incidents, hazards, and near-misses
Office & Administration Management
12. Oversee office operations(supplies, equipment, vendor management)
13. Manage office budgets, invoices and procurement
14. Provide administrative support, including diary/travel management for leadership
15. Act as out-of-hours contact for facilities emergencies
Team Management
16. Line-manage and mentor the admin team, driving performance and growth
17. Foster a collaborative, service-focused team culture
HR Support
18. Support recruitment and onboarding
19. Act as a friendly and approachable point of contact for staff queries
About You
20. Experience in a Building/Facilities/Office Manager role
21. Strong knowledge of building systems, BMS, HVAC, FCUs and contractor management
22. Solid track record in health & safety compliance, risk assessments, and emergency protocols
23. Comfortable managing budgets, suppliers, and service providers
