Who We're Looking For:
This is a new role at our Driffield office. We are seeking an Executive Assistant to work closely with our Managing Director and Leadership team to provide high-level administrative support. The role is 3 days a week (24 hours), with consideration for a 4-day working pattern. You will play a vital role in ensuring the department is organized and productive. This position requires strong attention to detail, excellent IT skills, and organizational skills.
Responsibilities
1. Efficiently manage and coordinate the Executives’ calendars, including scheduling meetings, appointments, and travel arrangements (including booking accommodation).
2. Anticipate scheduling conflicts and proactively resolve them.
3. Act as the primary point of contact for internal communications.
4. Liaise with the Chairman’s Executive Assistant to prioritise actions.
5. Foster a positive and inclusive culture that mirrors that of the Executives, promoting teamwork, collaboration, and engagement, providing guidance and support where necessary.
6. Draft, edit, and send correspondence, emails, and other documents on behalf of the Executives.
7. Work closely with the wider team to ensure all Executive Team projects and events are delivered efficiently and effectively.
8. Handle administrative tasks such as expense management and document organization.
9. Prepare and finalize project correspondence, presentation materials, and slide packs for meetings.
10. Maintain confidentiality and handle sensitive information with discretion.
11. Coordinate project-related tasks and ensure deadlines are met.
12. Attend meetings, take minutes, distribute them promptly, and keep records of actions closed out.
13. Identify areas for process improvement and assist in implementing streamlined procedures to enhance efficiency.
Qualifications and Skills
1. Strong IT skills.
2. Experience in a similar PA/EA role.
3. A goal-oriented mindset and good organizational skills.
4. Ability to maintain confidentiality and handle sensitive matters.
5. Excellent attention to detail and accuracy.
6. Good verbal and written communication skills with the ability to interact professionally with internal and external stakeholders.
7. Ability to work both independently and collaboratively in a team environment.
