Workforce Development Programme Administrator

An exciting opportunity has arisen for an enthusiastic, motivated and highly organised individual to join the Pharmacy Workforce Development team as a Programme Administrator. We are seeking a proactive and adaptable individual with excellent communication and administrative skills, who can confidently manage competing priorities while delivering high-quality support across a range of workforce programmes. The ideal candidate will be an independent thinker who uses initiative effectively and builds strong, collaborative relationships with a wide range of stakeholders, including healthcare professionals, managers, education providers and external partners.
You will play a key role within the Workforce Development and wider Pharmacy team, supporting the Principal Pharmacist for Workforce Development, Training Programme Directors, Teacher practitioners and supervisors in the coordination and delivery of training, recruitment activity, placements and workforce initiatives across the Health Board.

Main duties of the job
The post holder will coordinate Pharmacy workforce development programmes across the Health Board, ensuring delivery within agreed timescales and organisational requirements.
They will organise key processes including trainee placements, programme schedules, recruitment administration and training activities, ensuring efficient planning and delivery.
The post holder will maintain accurate workforce records and databases, including trainee information, funding and programme tracking, in line with governance and reporting requirements.
They will support meetings and events, preparing documentation, recording outcomes and ensuring actions are followed up.
The post holder will liaise with internal departments and external organisations to coordinate activity and resolve issues.
They will produce routine reports to support monitoring and continuous improvement of workforce initiatives.
The role requires autonomous working, effective prioritisation and the ability to respond to changing demands while supporting efficient administrative systems.
Welsh Skills Desirable: This post is advertised as Welsh Desirable at Level 3 Speaking/Listening (or 'B1' Level if you've learnt Welsh as an adult). This doesn't mean you have to be fluent or able to write long reports in Welsh; it just means being able to hold simple conversations with patients. Person Specification
Experience
* Previous experience of working on projects or planning training events.
* Experience in the use of software packages/computer programmes (Word, Excel, PowerPoint, and Outlook).
* Experience in producing high quality reports within a set timescale.
* Experience of working in the NHS or of working in an Educational/Training environment.
* Experience in supervising staff.
* Developing high quality promotional documentation.
* Experience of taking and transcribing minutes of meetings.
* Experience of working with Pharmacy Education software packages/ computer programmes eg. Intrepid.
* Using social media/Apps etc. appropriately to support communication within the working environment.
Knowledge
* Educated to NVQ/OCR Level 3 or equivalent skills, knowledge and experience, plus additional knowledge of the specialist function of Pharmacy Education, and its policies and procedures.
* Knowledge of administrative and clerical procedures and systems.
* ECDL or similar computer qualification.
* Evidence of Continuous Professional Development.
* Working knowledge of the Pharmacy Education agenda.
* Welsh language skills in Speaking/Listening at Level 3 or above.
Aptitude and Abilities/Skills
* Advanced keyboard skills and the ability to use Microsoft Office Software packages.
* Possess excellent verbal, written and presentation skills.
* Excellent organisational and time management skills.
* Convey messages and ideas clearly.
* Ability to produce meaningful reports from databases.
* Ability to communicate with all levels of staff and be confident dealing with senior medical staff.
* Understanding of budget and financial systems.
* Ability to work effectively on own initiative and as part of a wider team.
* Evidence of undertaking presentation to groups.
* Able to act calmly and sensitively when undertaking pastoral duties.
* Maintain confidentiality and integrity at all times.

* Ability to travel between Cwm Taf Morgannwg University Health Board sites in a timely manner.
