Job Summary
Applications are invited for a new role, eRoster and Temporary Staffing Manager, who will lead our e‑Rostering and Temporary Staffing Team, providing expertise in this field and ensuring best practices are in place across the Trust. The role will ensure a high‑quality service that supports effective rostering using Allocate and the efficient, governed deployment of temporary staffing requirements. Applicants should be educated to degree level in a relevant subject or have demonstrable graduate level experience working in a similar role, alongside highly developed rostering experience and previous leadership and line management experience.
Responsibilities
* Lead and represent electronic rostering Trust wide, providing expertise and best practice to all managers and employees for all staff groups.
* Oversee the roll‑out of e‑Roster to departments not yet implemented, both medical and non‑medical.
* Ensure a high‑quality service that meets national guidelines and local KPIs through effective and efficient rostering.
* Champion change and e‑Roster best practice, identify opportunities for efficiencies across the organisation in collaboration with other departments.
* Daily manage the Temporary Staffing Hub, sustaining high‑level compliance of rosters against the Trust e‑Roster policy and KPIs.
* Disseminate knowledge and skills to other Trust managers, embedding best roster practice and reducing reliance on temporary staff.
* Collaborate with teams in ESR/Payroll/Finance/Recruitment to align best practice.
* Serve as a Trust advocate, raising the Trust profile through external links, meetings, workshops and conferences.
* Designated budget holder for the e‑Roster team, monitoring staffing and non‑staffing costs and working with finance to align variances.
* Support system procurement and renewals with HOS and RLDatix, ensuring optimal pricing for software licences.
* Maintain sound knowledge of IT applications, including Allocate and MS Office.
* Analyse complex workforce information and data sets to support decision‑making.
* Act as Information Asset Administrator for HealthRoster, ensuring all audits are completed.
* Lead all Temporary Staffing Hub projects, including adding remaining non‑rostered staff to the e‑Roster.
* Develop robust systems for Bank staff training, document control and system maintenance.
* Attend check and challenge meetings, identify learning opportunities and ensure KPIs and budget align.
* Ensure e‑Roster policies are updated and amended as necessary.
* Represent Trust wide discussions around e‑Roster, liaise with regional and national workforce on best practice, innovations and development.
* Respond to freedom of information requests and complaints related to e‑Roster data or staffing levels.
* Support staff development through appraisal systems, training, and mentoring.
* Maintain accurate staff data across workforce systems and provide necessary information to management.
Person Specification
Qualifications / Training – Essential
* Educated to degree level in a relevant area of academic practice or demonstrable degree level experience working in a similar role.
Qualifications / Training – Desirable
* Project management training.
Experience – Essential
* Rostering experience underpinned by knowledge and practical experience.
* Significant experience of leadership and line management, including managing difficult situations, conflict and personal development reviews.
* Experience of managing projects or programmes within set timescales and budgets.
* Able to evidence managing and prioritising own workload and supervising the workload of others.
Experience – Desirable
* Experience of formulating business cases.
* Clinical background or knowledge of clinical rostering.
Skills and Competencies – Essential
* Able to interpret national and local policies and embed them into rostering interfaces.
* Able to provide and receive personal and sensitive information.
* Able to make decisions.
* Demonstrates highly effective communication skills and can develop professional relationships across all levels of the organisation.
* Able to work independently, making autonomous decisions and judgements at an advanced level.
* Good understanding of rostering KPIs.
