We are a friendly and supportive GP practice located in Rotherham seeking part-time experienced receptionists/administrators. We have multiple posts available. This is an exciting opportunity for an enthusiastic individual to join our dynamic team. The position is primarily 25 hours per week, available at two sites.


Main duties of the job

The main duties include answering the telephone, working at the reception desk, managing and booking appointments, handling Systmone tasks, scanning and attaching documents in Systmone, managing emails, taking prescription requests, registering patients, and performing general administrative duties. Full support will be provided.


About us

Our team comprises 6 GP Partners, 5 salaried GPs, several trainee GPs, a practice nursing team including a phlebotomist, HCAs, Nurse Associates, and Practice Nurses. We work closely with the PCN and other surgeries within the PCN. Serving a population of 15,000 patients over two sites, we are a friendly team that values, supports, and develops its staff.


Job responsibilities

The role involves undertaking a variety of reception and administrative duties to ensure the smooth running of the practice and providing high-quality service to patients, doctors, nurses, and other team members.

* Make new and follow-up patient appointments in a timely manner using the IT system.
* Receive and direct patients to the appropriate professional or service.
* Act as a chaperone.
* Contact interpretation services for patients as needed.
* Maintain accurate electronic records of patient care using correct codes.
* Prepare the reception area for incoming colleagues and hand over between shifts.
* Take telephone messages and handle general enquiries, directing them as necessary to GPs.
* Manage incoming and outgoing correspondence, including workflow tasks.
* Handle queries efficiently, including administrative ones.
* Input data into patient healthcare records as necessary.
* Support the team with searches, audits, and recalls.
* Maintain confidentiality and offer patients the opportunity to speak privately if needed.


Person Specification


Qualifications

* GCSEs or equivalent with Grade B or above in English.


Experience

* Experience working in a GP practice (Reception/Admin).
* Good time management and ability to meet deadlines.
* Excellent interpersonal skills.
* Planning and organizational skills.
* Ability to perform under pressure.
* Initiative and adaptability.
* Teamwork skills.
* Self-motivated.
* Flexibility to work shifts.

Salary: £12.21 per hour, aligned with Rotherham scale, not AFG.
