Job title -United Parish Administrator Employed by -United Parish Select Vestry Reporting to - United Parish Incumbent Work base - St John's Church, 3 Doagh Road, Ballyclare Hours of Work:20 hours per week, Monday to Friday (9.30am 1.30pm) Evening and weekend work may be required in addition to standard hours. Time off will be granted in lieu of extra notified hours worked. No overtime is payable Salary -£26,000 pro rata (based on 40 hours per week) Negotiable based on experience, salary is reviewed annually Pension -Auto-enrolment in a National Employment Savings Trust (NEST) pension Expenses - Reasonable work-related expenses and mileage will be paid in consultation with the line-manager and Select Vestry, and documented within the United Parish Employee Handbook. Term of contract -Part-time permanent, subject to an initial 6 months probationary period Summary of Administrative Duties: Maintain parish administration systems for records, ministries, events, bookings, and volunteer rotas. Produce weekly bulletins, flyers, and manage church communications across the website and social media, aligning with the Christian ethos. Create special service booklets for major events like Christmas, Easter, and Harvest. Manage supply orders for daily ministry needs and special events. Prepare welcome packs for visitors and new parishioners. Provide administrative support to the Minister, including meeting and event coordination. Serve as a point of contact for parishioners and hall users, offering information and creating a hospitable environment. Handle general communications and maintain filing of confidential materials, ensuring GDPR compliance. Oversee church-related licences and agreements (e.g. software, copyright). Coordinate with key personnel (e.g. Hon Secretary, Treasurer, Cleaners) on administrative matters. Financial Administrative Duties: Collate and forward invoices for payment to the Honorary Treasurer. Record incoming cash/cheques, issue receipts, and prepare deposits. File all financial documents and correspondence. Assist with annual ordering of Freewill Offering envelopes. Representation of the church Represent the Christian faith and parish positively in all interactions. Foster a welcoming, hospitable environment that reflects Christian values. Offer informal pastoral support when appropriate during parish office visits. Build relationships with parishioners and the wider community.
