The workspace assistant roleincorporates several facilities management tasks and is a greatgateway into Pareto FM & the facilities sector. We arelooking for a bright enthusiastic individual to join our teamduring an exciting time for our client the successful candidatewill be involved in the daytoday operations as well as gettinginvolved in various projects on site.
Theoverall purpose is to support the senior workspace manager withmaintaining effective facilities management exceptional servicedelivery and providing the client with a world classworkspace.
MainFunction:
The workspace teamsupport the senior workspace manager at the city center office inLeeds. The role will have direct interaction with variousdepartments multiple areas and senior managers across the business.The workspace assistant will be expected to lead individualassignments as directed by theteam.
RoleResponsibilities:
* Involvementwith the wider workspace team helping maintain areas such as printstations stationary cupboards and meeting room equipment. Supportwith events including responding to enquiries booking rooms eventset up and derig.
* Covering the front desk as/when required. Welcoming and making surevisitors staff and contractors are assisted/directed ensuring thecheckin process and clients security procedures are maintained.
* Supporting with a sharedreception inbox creating access passes for new starters visitorsand contractors.
* Assisting with contractor visits raising work permits andrequesting insurance documents/riskassessments.
* Ordering ofsupplies/stationary/consumables.
* Supporting with theupdating and management of digital health &safety/compliance logbooks.
* Dealing with requestsvia a shared workspace inbox responding to carpark meeting roomaccess and postagerequests.
* MonitoringSlack (internal messaging) channels and responding to workspacenotifications/office queries.
* Ad Hoc jobs as directedby the workspace manager. Involvement in small projectworks.
* Must be prepared tofill the gaps and step into any of the facilities roles in times ofconstrainedresource.
