Job Description Job Title: Planning Coordinator Grade: AT4 Reports to: Planning Manager Business area: Grocery & Consumer Location: Waitrose Customer Fulfilment Centre Greenford, Middlesex, UB6 0AA Summary And Purpose Of Position The Planning Coordinator plays a vital role in supporting the day-to-day planning operations across warehouse and transport functions. This position ensures that administrative processes related to labour, scheduling, holiday management, and volume tracking are executed accurately and efficiently. By maintaining key planning documents and supporting internal communications, the Planning Coordinator helps ensure operational continuity and compliance with service level agreements. This role is ideal for someone with strong organisational skills and a keen eye for detail, looking to build foundational experience in logistics planning. Duties And Responsibilities Maintain and update colleague rotas and holiday schedules to ensure operational coverage across warehouse and transport. Track client forecasts against actual volumes, highlighting variances and supporting operational adjustments. Support the internal communication of volume forecasts, peak periods, and special events to ensure alignment across teams. Manage and update planning tools and trackers used by the management team to monitor labour hours, agency usage, and overtime. Assist in the coordination of agency labour, ensuring accurate booking, tracking, and reporting. Act as Duty Admin on a rotating basis, providing real-time planning support during assigned shifts, including weekends and nights. Liaise with Shift Operations Administrators to ensure planning data is accurate and up to date. Support the onboarding of new colleagues by ensuring planning systems reflect accurate start dates and shift allocations. Maintain compliance with personnel policies, promoting fair and respectful treatment of colleagues in line with Wincanton principles. Contribute to continuous improvement initiatives by identifying inefficiencies in planning processes and suggesting improvements. Provide administrative support for absence and lateness tracking, ensuring accurate records are maintained. Collaborate with transport and warehouse teams to ensure planning reflects operational needs and constraints. Assist in preparing reports and summaries for planning meetings and operational reviews.
