Job Description
My client is an Independent Stockbroker, Investment Management & Financial Planning firm based in Harrogate.
We are urgently seeking an IFA Administrator to join the existing Administrative teams on the Financial Planning side of the business. You will be responsible for supporting Financial Advisors with day-to-day administrative tasks, including direct contact with clients, third parties, and internal stakeholders.
Your specific duties will include:
1. Providing full administrative support to Financial Planners and acting as the point of contact for company, client, and third-party queries related to new and existing business.
2. Keeping all notes on the back-office system up to date to ensure advisers and team members are informed of the current situation.
3. Processing and completing the setup of new investments and policies, including Pension and SIPP contracts, Investment, and Protection policies for both Personal and Business clients.
4. Managing online fund switches through to completion, maintaining the back-office system by adding new clients, and updating portfolio details such as contributions and withdrawals.
5. Using the client management system to process new and existing business accurately, including valuations and diary management.
6. Providing review and valuation documentation for client reviews and handling portfolio or client circumstance changes. Managing diaries for Advisers.
7. Ensuring all documentation is scanned into the paperless system and emails are saved to client records.
8. Liaising with external parties such as insurance companies regarding queries.
9. Managing own workload and preparing meeting packs for advisers.
We are ideally seeking someone with 1-3 years of experience in an administrative role within a Financial Advisory or Financial Planning firm. Knowledge of investments, pensions, life assurance, permanent health insurance, and personal tax is preferred. We are looking for a career-focused IFA Administrator.
