About the Role:
As our New Patient Engagement Coordinator, you'll be the key point of contact for new patients. From the moment they first reach out to us, through their treatment journey, and beyond. You'll also act as an ambassador for our referral programme, representing Advance Dental Care at external practices and building relationships with referring dentists and teams.
Key Responsibilities:
* Welcome and guide new patients through their treatment journey, starting with their first consultation.
* Be the main contact between appointments, offering consistent communication and reassurance.
* Discuss treatment plans and finance options in depth, ensuring clarity and confidence.
* Handle pre and post-operative calls, providing a high level of aftercare and attention.
* Manage diaries efficiently; ensuring clinician and treatment schedules are well organised and optimised.
* Use Care Manager on SOE (Software of Excellence) to update patient records and treatment statuses.
* Handle online enquiries via Boxly, ensuring all new leads are followed up promptly and professionally.
* Confidently process payments, including handling high-value transactions.
* Maintain accurate and detailed new patient trackers using Excel.
* Personalise the patient experience - from remembering their preferred drink to setting up their favourite music or film during appointments.
* Travel to other dental practices to promote and explain our referral programme with professionalism and confidence.
About You:
* Impeccably presented, professional, and self-motivated.
* A natural communicator - both in person and over the phone or email.
* Confident discussing treatment options and finances with patients.
* Comfortable using SOE / Care Manager, or eager to learn.
* Experienced in Excel and able to maintain clear, detailed trackers.
* Familiarity with Boxly or other CRM/enquiry tools is a plus.
* Some dental knowledge is preferred (though not essential).
* Must hold a full UK driving licence and be comfortable travelling to other practices when required.
* Able to work independently while being a valued part of a close-knit team.
