Administration Assistant & Receptionist Band 2
Salary: £26,696 - £28,988 plus shift enhancements.
Duration: 36 hours per week. Shift work over 24 hour / 7 days per week service.

An exciting opportunity has arisen within the Administration Team of NHS Lothian, Royal Edinburgh and Associated Services (REAS). This service incorporates all areas within the Royal Edinburgh Hospital including Mental Health Assessment Service (MHAS). The Reception Team cover a wide ranging and varied administrative workload required supporting all the services and ensuring safe and efficient running work required. The post holder will be required to work the following shifts (07:00–16:30, 08:30–18:00, 14:00–23:30, 23:00–08:30) Monday to Sunday on a rotational basis and in relation to service requirements. The role requires excellent customer service skills, a professional and positive approach to completing daily duties and operational needs, day-to-day administration within wards, dealing with incoming calls and enquiries for vulnerable patient groups, other health professionals and third-party sectors.
Be able to work independently or as part of a team with a good level of initiative. Demonstrates the ability to develop and maintain positive working relationships with colleagues and patients. Highly motivated and adaptable to change with a flexible approach and attitude to covering shifts to support service demand. The ideal candidate will work well under pressure and in stressful situations.
REAS provides a range of Mental Health services to the population of Lothian and other Boards within Scotland. A number of these services are provided on the Royal Edinburgh Hospital (REH) site.
Responsibilities
* Provide day-to-day administration within wards and cover reception duties as part of a multi-disciplinary team.
* Answer and manage incoming calls and enquiries from patients, health professionals, and third parties with professionalism and empathy.
* Support service delivery to ensure safe and efficient operation of the REAS administration function.
* Maintain positive working relationships with colleagues and patients, and demonstrate initiative as required.
Requirements / Qualifications
* Experience in a customer service or administrative role; ability to work under pressure and in a busy environment.
* Excellent written and verbal communication skills; ability to empathise with patients and colleagues.
* Ability to work independently or as part of a team; flexible and adaptable to changing shift patterns.
* Good IT skills and experience with standard office software.
* Understanding of safeguarding and confidential handling of information is desirable.
