Role Overview
We are looking for a highly organised and detail-driven Procurement & Warehouse Administrator to play a key role in our day-to-day operations.
Sitting at the centre of product, suppliers, and fulfilment, you will ensure stock is ordered, tracked, received, and distributed efficiently across both e-commerce and retail channels. This is a hands-on role in a fast-moving environment where accuracy, ownership, and problem-solving are essential.
Key Responsibilities
Procurement & Supplier Coordination
* Raise and manage purchase orders across key partners including Nike, Adidas, Puma and other suppliers
*
Track inbound deliveries, ensuring timelines are met and delays are communicated proactively
*
Maintain accurate supplier data including pricing, lead times, and product information
*
Support ongoing supplier relationships, ensuring smooth communication and issue resolution
*
Work closely with the wider team to ensure stock availability aligns with launches, campaigns, and key football moments
Inventory & Systems Management
*
Maintain accurate stock levels across Shopify and Mintsoft
*
Ensure all products are correctly set up, including SKUs, size variants, barcodes, and pricing
*
Manage bulk uploads and inventory formatting to meet WMS requirements (e.g. size-level SKUs, weights, locations)
*
Allocate and maintain warehouse locations for all stock
*
Carry out regular stock reconciliations and investigate discrepancies
Warehouse Operations
*
Oversee goods-in processes, ensuring all deliveries are checked, booked in, and stored correctly
*
Support goods-out operations, working closely with fulfilment to ensure accurate and timely dispatch
*
Ensure warehouse organisation is maintained, with clear labelling and efficient stock flow
*
Assist in preparing stock for retail activations, pop-ups, and store replenishment
*
Support with Customer Emails and returns
Logistics & Compliance
*
Support domestic and international shipping processes
*
Ensure accurate customs documentation (e.g. HS codes, product descriptions such as “Women’s Football Shirt”)
*
Liaise with couriers and logistics partners to resolve delivery issues
*
Maintain compliance with internal processes and external requirements
Reporting & Continuous Improvement
*
Produce regular reports on stock levels, sell-through, and supplier performance
*
Identify opportunities to improve operational efficiency across procurement and warehouse processes
*
Support the implementation of new systems, processes, and ways of working as FOUDYS scales
Key Skills & Experience
Experience in procurement, supply chain, or warehouse administration
Strong attention to detail — particularly with data, SKUs, and inventory accuracy
Experience with Shopify, Mintsoft, or similar inventory/WMS systems
Confident using Excel/Google Sheets (including data manipulation and uploads)
Highly organised with the ability to manage multiple priorities
Strong communication skills and confidence working with suppliers and internal teams
A proactive, hands-on approach in a fast-paced environment
Desirable
Experience in e-commerce, retail, or sports apparel
Understanding of product variants, personalisation, and stock complexity
Knowledge of international shipping and customs processes
