What We Are Looking For
The Event Operations Manager at Heckfield Place is responsible for managing the detailed logistics and operational planning of all events, ensuring every department is prepared and aligned to deliver a flawless experience. Working closely with the Event Planning Manager, this role translates event briefs into clear, actionable operations plans. A key focus is collaboration with the F&B Event Manager to ensure all service elements are fully integrated and supported by the wider team.
* Interpret event briefs provided by the Event Planning Manager into comprehensive operational plans.
* Develop detailed logistics schedules covering setup, service phases, guest flow, staffing requirements, equipment needs, and departmental involvement.
* Ensure all physical and logistical elements of events are fully accounted for.
* Schedule and lead pre-event operational briefings with all relevant departments.
* Clearly communicate each department's responsibilities and timelines, ensuring full understanding of expectations.
* Monitor different departments in the lead-up to events and address potential issues before they arise.
* Act as the operational liaison in the handover process from event planning to execution.
* Attend internal planning meetings to provide logistical input and ensure plans are practical and manageable within Heckfield Place’s standards.
* Ensure all operational considerations are addressed early in the planning process to avoid last-minute changes.
* Work closely with the F&B Event Manager to align on all aspects of food and beverage service—timing, service style, guest requirements, staffing, and layout.
* Produce and distribute thorough event operations packs and timelines to all stakeholders.
