GP Assistant

The GP Assistant supports effective servicedelivery within the Primary Care Network by organising and streamlining carecoordination processes, managing administrative systems, and ensuring smoothcommunication between teams. This role involves proactively supporting patientsand staff with complex needs through logistical planning, working closely withpractice teams, external providers, and the wider PCN to ensure services aredelivered efficiently and experiences are improved. Main duties of the job
The GP Assistant is responsible for managing administrative and coordination tasks across the PCN, including rota management, meeting organisation, data handling, and inter-agency communication. The role supports smooth information flow between services, maintains accurate records using systems like EMIS, assists with audits and reporting, organises events and training logistics, and ensures compliance with data protection standards. The postholder also plays a key role in improving internal workflows, preparing documentation, and supporting the wider PCN team with service development and operational delivery.

We are a Primary Care Network (PCN) of five practices working togetherwith a range of local providers, including primary care, community services,social care, and the voluntary sector, to offer more personalized, coordinatedhealth and social care to their local populations.
Our PCN comprises of 35k+ patients over the five practices, making uslarge enough to provide resilience and support the development of integratedteams.

* Enhance the skills andflexibility of the General Practice workforce to meet population and serviceneeds with programmes of continuing professional development.
* Work and collaborate with othersto innovate in service provision, building on new technologies and recognisinglifestyle choices of service users in the way in which they wish to accesscare.
* Ensure that all we do isvaluable, both for the taxpayer and service user and for those investing theirtime and money into the PCN.
* Operate ethically, withaccountability, probity, and fairness at the heart of the organisation.
Job responsibilities
* Coordinateand manage rotas information flow between services.
* Maintainaccurate and timely administrative records using clinical systems (e.g. EMISetc).
* Liaise withGP practices, community services, and voluntary sector partners to supportjoined-up working.
* Support theorganisation and minute-taking for PCN or MDT meetings, including follow-upaction tracking.
* Monitor andmaintain shared inboxes and ensure timely responses or escalations.
* Assist withpreparing reports, audits, and returns required for PCN contractual obligations.
* Update andmanage patient databases and care tracking systems.
* Coordinatelogistics for events, training sessions, and outreach activities.
* Handlegeneral enquiries from patients or staff, offering clear signposting andsupport.
* Contributeto the design and improvement of internal administrative workflows.
* Preparingrelevant documentation and coordination for the PCN team.
* Ensurecompliance with information governance, confidentiality, and data protectionstandards.
* Assist inmaintaining standard operating procedures and documentation for carecoordination activities.
* Workcollaboratively with the PCN team on service improvement projects.
Person Specification
Qualifications
* Level 3 qualification in administration, business, or related field, or equivalent experience
* Administrative experience in healthcare, social care, or voluntary sector setting
* Strong organisational, IT, and communication skills; confident managing multiple priorities
* Understanding of confidentiality, data protection, and NHS administrative systems
* Methodical, approachable, flexible, and team-oriented; committed to service quality
* Further training in project support, data entry, or coordination
* Experience supporting project management, audits, or PCN delivery
* Experience using EMIS or similar systems; report writing skills
* Familiarity with PCN structures, referral pathways, or QOF processes
* Interest in service improvement and patient experience enhancement
