Position: Project and Resource Manager

The Yard Creative seeks an experienced Project and Resource Manager to join our expanding team and ensure clients receive top-tier service. Reporting to the Managing Director, you will support the delivery of evidence-led strategy and design for clients in the UK and internationally, collaborating with the Finance Manager and Discipline Directors. You will oversee internal project management, with key duties including communication and coordination with colleagues, managing resources, gathering client briefs, and ensuring timely, budget-compliant project completion. This role requires strong project management, administrative, and interpersonal skills.
You will work on multiple projects simultaneously across various sectors with established brands, SMEs, and organisations. Collaborating with an integrated team of creatives and strategists who specialise in brand, digital, 3D design, and strategy throughout each project's lifespan. You will manage resourcing and time planning for the creative and strategic teams weekly and monthly, providing a macro overview of the quarterly and yearly pipeline plan with the MD and finance manager.
This is a crucial role in the successful operation and growth of the agency, bridging the MD, finance, strategy, and design teams to deliver exceptional work for our clients.
Key Responsibilities:
Primary – Project and Resource Management:
· Project and resource management of the strategy and design team reporting to the Managing Director
· Monitoring, reviewing, and supporting the account management/project leader on their projects to avoid and mitigate project risks and blockers
· Producing 6 to 12-month forecast programmes and reports for secured/live work & project pipeline
· Resource planning: running weekly resourcing meetings with the Senior team; booking of resources against programs of work across all projects in the long term and considering immediate requirements daily/weekly applicable to all team members via our project planning and time capturing software, Streamtime
· Onboarding new projects in the studio, identifying and selecting project teams to best suit the project delivery – in collaboration with directors
· Project planning: creating programs of work based on scope, timelines, tasks and deliverables
· Project management of the full strategy/design project lifecycle. Including the clear articulation of the brief/deliverables/timelines to the creative team, organising regular client meetings, managing scope/creep and ensuring projects are delivered on time and within budget
· To manage emails, WhatsApp groups and Teams chat channels, ensuring that the team are on top of communications and deadlines internally and externally with their clients
· To manage tracking and reporting of performance and utilisation to uphold team accountability and promote quality of service
· Keeping documentation and records of project milestones and completed work
· Escalating issues, proactively resolving problems, and making critical decisions alongside the senior leadership team
Secondary – Operations and Administration Support:
· Answering and managing incoming phone calls/enquiries in MD and or receptionist absence
· Managing and redirecting incoming emails in the info@ mailbox to monitor new business enquiries through the website enquiry form in the MD’s absence
· Supporting the coordination and administration of annual performance reviews, disciplinary and other HR related matters alongside the MD and or discipline directors
· Co-ordinating and administrating recruitment processes for permanent and contract/freelance staff alongside the MD and or discipline directors
· Onboarding and offboarding of staff members alongside the MD and or discipline directors
· Co-ordinating and administrating Internal communications and marketing activities like social media posts, recruitment ads, newsletters, awards entries etc, alongside the MD and or discipline directors
· Coordinating and administering team wellbeing and social activities alongside the MD and or discipline directors
· Coordinating and administering workplace policies and behaviours alongside the MD and or discipline directors
Key Skills:
As our Project and Resource Manager, you will have excellent organisational, communication and interpersonal skills, along with practical reporting skills. Further skills needed for the role are:
· Experience with PM software: MS Projects, Excel and Streamtime (or similar)
· Excellent organisational & listening skills
· Excellent communication skills, both verbally and in writing, across channels (i.e. email, SMS, chat), with the ability to voice your own opinion
· A can-do attitude
· Good project management skills
· Positive and problem-solving attitude
· Good financial management skills to accurately manage project budgets
· Ability to explain and justify all elements of a creative proposal
· Working knowledge of relevant software, including project management tools, spreadsheets and Hubspot or Similar)
· Ability to act on internal and external feedback and provide meaningful solutions
· Ability to explain and describe all elements of a creative brief/proposal
· Ability to compile and present reports to management
· Ability to identify team needs and act upon new areas for growth and utilisation
