Working at the radiotherapy & oncology outpatients reception area involves meeting & greeting patients.
Responsibilities include retrieval, tracking, preparation, and delivery of case notes to the point of care, ensuring records are fit for purpose using the Trust’s Patient Administration System.
Validate onsite case notes and maintain case note libraries to optimize space utilization.
Adhere to the Trust’s service level agreement for case note compliance, GDPR, Information Governance, Data Protection, and confidentiality.
We are seeking an organized and enthusiastic candidate for the role of Patient Pathway Assistant (Apprentice) within Oncology Admin Staff to provide high-quality customer service.
Apprenticeships offer a chance to gain a nationally recognized qualification while on-the-job training. You will be supported to develop the necessary knowledge, skills, and behaviors, with study time allocated during working hours.
For this role, you will undertake a 22-month development program in Business Administration within Oncology Admin Staff, through work-based learning and regular training sessions. Successful completion will lead to an Advanced Apprenticeship Level 3.
* Deal with patient queries and enquiries.
* Check patients in on the Trust’s IT systems.
* Answer internal and external phone calls.
* Register patient/family transport.
* Operate Careflow (the Trust’s PAS) and other systems, ensuring high data quality and integrity.
* Update Careflow with current locations of patient case notes, following Trust protocols.
* Use Trust systems daily to locate case notes, print patient lists and labels, and ensure case notes are ready before appointments.
* Manage missing case notes, create temporary records, handle emergency retrievals, and coordinate record transfers.
* Collect patient case notes from various hospital departments and request off-site notes for planned or emergency cases.
* Transport and deliver case notes within the hospital using appropriate equipment.
* Create new patient case notes with the necessary documentation.
