We're now looking for an exceptional Executive Assistant to support our leadership team as we enter our next stage of growth.
About the Role
We are seeking a highly organised, proactive, Executive Assistant to provide high-level administrative and operational support to the CEO and executive team. This role is critical to enabling the leadership team to operate efficiently and focus on the highest-leverage priorities as we scale.
We anticipate this role will develop into a chief of staff position over time. A high level of thinking is required.
Key Responsibilities
* Calendar & Email Management:
* Manage complex executive calendars, coordinate meetings across time zones, and handle scheduling conflicts gracefully.
* Monitor and manage inboxes, drafting responses and ensuring follow-ups on critical communications.
* Meeting Coordination & Support:
* Prepare agendas, briefing materials, and presentations for internal and external meetings.
* Take clear, actionable notes and drive follow-up across stakeholders.
* Travel & Logistics:
* Plan and manage comprehensive travel arrangements, including flights, hotels, itineraries, and expense tracking.
* Operational Support:
* Assist with the preparation of investor updates, board packs, internal reporting, and other sensitive documents.
* Maintain confidentiality and professionalism at all times.
* Personal Assistance (as needed):
* Support the CEO with personal logistics to help maximise focus and availability.
* Special Projects:
* Contribute to ad hoc strategic or operational projects with research, coordination, or execution support.
Requirements
* Prior experience as an Executive Assistant supporting C-level leaders, ideally in a startup or scale-up environment.
* Exceptional organisational skills, attention to detail, and time management.
* Strong written and verbal communication skills.
* High level of discretion and ability to handle confidential information.
* Comfortable working at a fast pace, managing multiple priorities independently.
Nice to Have
* Background in fintech or regulated industries.
* Familiarity with investor or board communications.
* Light experience with project management tools or operations support.
