Job Summary
We are seeking a professional and friendly Receptionist to join our team for an initial period of 6-12 months. The ideal candidate will be the first point of contact for our customers, suppliers and visitors, providing excellent front of house service and administrative support. This role requires strong organisational skills, attention to detail, ability to maintain confidentiality and to manage multiple tasks efficiently in a pleasant office environment.
Duties
* Greet visitors warmly, ensuring a positive first impression.
* Answer and direct phone calls with professionalism and courtesy, demonstrating excellent phone etiquette.
* Manage incoming and outgoing correspondence, including emails and postal mail, ensuring timely responses.
* Maintain an organised reception area, ensuring it is tidy and welcoming at all times.
* Perform data entry tasks accurately and efficiently, maintaining up-to-date records including HR records and purchase orders.
* Assist with clerical duties such as filing, photocopying, and scanning documents.
* Utilise Microsoft Office applications (Word, Excel, PowerPoint, Outlook), Syspro, Equator and Visio for various administrative tasks.
* Coordinate appointments, meetings and inductions for staff members, ensuring effective time management.
* Maintaining Stationery Room and keeping stock levels accurate.
* Assisting in co-ordinating company events such as the Christmas Party, raffles, competitions etc.
Qualifications
* Previous office or administrative experience is essential.
* Proficient computer skills with a strong understanding of Microsoft Office Suite.
* Experience with Equator is desirable but not mandatory.
* Excellent organisational skills with the ability to prioritise tasks effectively.
* Strong typing skills with attention to detail in data entry tasks.
* Admin experience in a similar role is an advantage.
* A friendly demeanour with exceptional communication skills to interact effectively with clients and colleagues.
