Case Administrators play a vital support role in probation teams, helping to keep the public safe, giving people the chance to turn their lives around, and building a rewarding professional career.

If successful in the recruitment process and joining the Probation Service, your starting salary will be £23,583.


Overview of the job

This is an administrative role within the Probation Service.


Summary

The job holder will provide administrative support within the Probation Service (PS), ensuring staff and individuals on probation are supported through efficient processes, maintaining administration systems within specified timescales to promote team and Divisional objectives.

The role requires adherence to PS policies and procedures, demonstrating a commitment to equality and inclusion.

This position may involve some out-of-hours work.

The post holder must respect all policies regarding the sensitive and confidential nature of the information handled.


Responsibilities, Activities & Duties

* Set up and maintain accurate records of people on probation and victim information on approved databases.
* Administer referrals and manage relationships with offender management, victims, interventions, service providers, and external agencies to enhance outcomes, manage risk, and reduce reoffending.
* Prepare, maintain, and collate case records, files, and management information according to standards.
* Handle information and communications appropriately via telephone, paper, or email.
* Provide cover for reception and telephone enquiry services.
* Act as a single point of contact within the unit for specific areas of work.
* Deal effectively and fairly with individuals on probation, including those in crisis or displaying challenging behavior, seeking support as needed.
* Arrange appointments and directions for implementing Sentence Plans.
* Carry out enforcement administration as required.
* Manage petty cash, vouchers, and warrants, maintaining proper records.
* Organise equipment, materials, and facilities for case management activities.
* Report faulty equipment and arrange for repairs or replacements.
* Maintain systems for effective resource use and suggest improvements.
* Perform specific Visor administration tasks per procedures.
* Attend and support meetings, including organizing agendas and taking minutes.
* Ensure activities comply with Health and Safety policies, including equipment tests.
* Provide cover within the unit and other units as appropriate.
* Carry out safeguarding duties according to statutory responsibilities and policies.
* Model pro-social behavior, challenge anti-social attitudes, and promote positive behavior.
* Work within the aims and values of PS and HMPPS.

Ability to communicate confidently in English (or Welsh where specified in Wales) is required.
