To work as part of the Endoscopy team, assisting in providing effective and efficient Receptionist and administrative support services to the designated team to ensure consistency across the service area.
Support the delivery of a comprehensive Receptionist and administrative support function to the service area to meet the needs of patients, service users and relatives in Endoscopy at Cirencester Hospital.
The job description outlines current duties and responsibilities; however, it is subject to review and amendment in light of developing or changing services and as part of the annual Individual Performance Development Review.
Main duties of the job
* Working in Endoscopy at Cirencester Hospital under supervision of the Senior Sister and the Endoscopy and Outpatient Manager.
* Engage with all service users, patients and other teams within the hospital setting.
* Develop skills to meet the demands and diversity in this department.
* Endoscopy is a small team and requires staff to be flexible to meet service delivery.
* Hours of work: Monday to Friday from 8.30 am to 4.30 pm; currently we do not work bank holidays or weekends.

Job responsibilities
* Participate in the smooth running of the department on a day-to-day basis.
* Be responsible for working with colleagues and managers to ensure service delivery.
* Communicate effectively with all grades of staff.
* Adhere to Trust policies and procedures and abide by employment laws.
* Undertake reception duties in Endoscopy as the first point of contact, maintaining a calm and appropriate manner in a variety of situations and seek support as required.
* Undertake telephone duties: taking calls, dealing with enquiries, taking and passing on messages, and communicating with internal and external agencies using phone, email, letters or forms.
* Communicate effectively with patients, showing regard for their individual needs and for their right to confidentiality. Patients may be upset or distressed and may have difficulties with communication.
* Ensure all patient notes are available for clinics and are accurately prepared prior to their procedure; any outcomes following the procedure are actioned in a timely manner.
* Notes are accurately traced and stored safely within the department.
* Assist with any requests for notes and accurate tracking of movement of notes.
* Participate in the opening of post.
* Be aware of universal precautions, health and safety, infection control and PPE.
* Participate in maintaining a safe environment for patients in the department; be aware of the security of the department, patients and equipment.
* Use equipment safely and appropriately, following local instruction.
* Be proficient in moving and handling techniques required in the department.
* Undertake such other duties related to the work of the organisation as may be assigned.
* Undertake learning and development opportunities within the area of work.
* Work in other departments within the hospital as staffing levels dictate, and work across other sites in GHCNHST when/if required.

* Educated to GCSE level in Mathematics and English to Grade C or above
* Experience of working in a customer-facing environment (face to face and via the telephone)
* Experience of working as part of a team
* Experience of NHS IT systems TrakCare, Integra
* Some experience of working in a healthcare environment is desirable but not essential
