Job Title: HR Coordinator
Location: Hybrid – 2 days’ in the office

Contract Type: 6 Months’ Fixed-Term
Job Purpose
We are seeking a proactive and detail-oriented HR Coordinator to support the smooth and effective functioning of our Human Resources department. The HR Coordinator will play a vital role in ensuring the efficient administration of HR processes, including onboarding, employee records, training coordination, and general HR operations. Key Responsibilities
HR Administration
* Maintain and update employee records on the HR system and ensure all documentation is accurate and up to date.
* Process HR documentation such as changes to terms and conditions, promotions, and leavers.
* Support payroll by providing relevant employee information (e.g., absences, new hires, terminations).
* Prepare and disseminate the HR Radar newsletter.
* Assist with compliance training management, including scheduling, tracking completions, and following up on outstanding modules.
* Facilitate MHFA (Mental Health First Aid) group projects, providing administrative and coordination support.
* Provide HRIS support, including data transfers, system admin tasks, and maintaining employee e-folders.
* Assist with ESFA data collection and submissions in line with reporting deadlines (August and November).
* Coordinate flu vaccination administration, including booking, communications, and follow-up (September/October).
* Prepare and issue pension letters in line with auto-enrolment and employee lifecycle events.
Employee Support
* Act as a first point of contact for general HR queries from staff, escalating where appropriate.
* Monitor and manage the HR inbox, responding to queries in a timely manner and signposting employees to the appropriate HR Business Partner or specialist where needed.
* Support in managing HR policies and procedures, ensuring consistency and compliance with employment law and best practice.
* Attend disciplinary, grievance, and investigation meetings as required to take accurate and confidential notes.
* Coordinate and deliver orientation sessions for new starters to ensure a smooth onboarding experience.
Learning & Development
* Coordinate internal and external training sessions, including scheduling, communications, and feedback collection.
* Maintain training records and support the team in tracking learning and development progress.
HR Projects & Initiatives
* Assist with the planning and delivery of HR projects and initiatives (e.g., employee engagement, wellbeing, DE&I).
* Support internal communication efforts related to HR initiatives and organisational updates.
Person Specification
Essential:
* Previous experience in an HR administrative or coordination role.
* Strong organisational skills with the ability to manage multiple tasks simultaneously.
* Excellent attention to detail and accuracy.
* Strong interpersonal and communication skills.
* Confidentiality and discretion in handling sensitive information.
* Proficiency in MS Office (Word, Excel, PowerPoint) and HRIS systems.
Desirable:
* CIPD Level 3 qualification (or working towards it).
* Experience working with HR software (e.g., BambooHR, Workday, PeopleHR).
Knowledge of current UK employment law.
