Job Summary
GP Surgery Administrator – Full Time. Candidate should be methodical, a quick learner, comfortable handling spreadsheets, and able to juggle multiple IT programmes. The role is busy and flexible, with fixed responsibilities. Requires a sunny disposition and team spirit.
We support nearly 30,000 patients with almost 100 staff across two sites, maintaining a friendly family vibe. Salary depends on experience (NHS experience desirable but not essential). Applications require CV and cover letter – no cover letter will result in dismissal of the application.

Responsibilities
* Maintain accurate and up‑to‑date patient records, ensuring GDPR compliance.
* Process referrals, medical reports, and other correspondence via iGPR or other software.
* Manage incoming and outgoing mail, electronic and written.
* Code clinical information and summarise patient notes, including digitisation.
* Prepare and deliver practice audits, reports, and performance data.
* Provide backup reception support: answer phones, book appointments through Rapid Health.
* Handle patient queries, signpost to appropriate services.
* Organise and schedule meetings, take minutes, distribute agendas.
* Coordinate patient recalls and appointment reminders; assist with staff rotas.
* Use clinical systems (e.g., EMIS) to manage patient records and workflows.
* Troubleshoot minor IT issues and liaise with external IT support.
* Handle patient feedback, complaints, and concerns sensitively.
* Promote positive image and high patient satisfaction.
* Assist with implementation of new policies, procedures, initiatives.
* Participate in training and development activities.
* Support ad‑hoc projects and administrative tasks as required.
Person Specification
Experience
* Previous experience in an administrative role, ideally within a GP practice, NHS or healthcare setting.
* Experience handling emails and managing clinical and non‑clinical correspondence.
* Experience maintaining accurate records and working with confidential information.
* Experience prioritising and managing a varied workload in a busy environment.
Desirable
* Experience using clinical systems.
* Experience supporting GP workflows (templates, recalls, referrals, clinician schedules).
* Experience liaising with internal teams and external organisations.
Knowledge and Skills
* Excellent organisational skills with strong attention to detail.
* Ability to work under pressure while maintaining accuracy.
* Understanding of confidentiality, data protection and information governance.
* Confident IT user with good keyboard skills.
* Willingness to learn new systems and processes.
* Positive, approachable manner that contributes to a supportive team environment.
Qualifications
* Good general level of education, including GCSEs (or equivalent) in English and Maths.
* Evidence of good literacy, numeracy and IT skills.
* Relevant administration or business qualification (desirable).
* Training relevant to primary care administration (e.g., NHS or GP practice‑based courses).
