Estates Co-ordinator
Wycombe Hospital, High Wycombe
Full time - 37.5 hours per week
Salary - up to £26,000.00 depending on experience plus Serco benefits.
Serco are recruiting for an Estates Co-ordinator to join our team based in Wycombe Hospital. This role will be to support Serco's Estate team in allocation, delivering, closure of planned and reactive maintenance works on site in an accurate, compliant, well organised and professional manner. To understand the technical nature of both compliance and remedial works requirements ensuring resolution of all elements.
Main Accountabilities:
1. Responsible for supporting the allocation and delivery of the Estates planned and reactive maintenance service using the CAFM system.
2. Responsible for ensuring that the resources required to undertake planned or reactive works are efficiently utilised and allocated in accordance with contractual priorities.
3. Responsible for ensuring proactive monitoring of the work of the Estates staff, and that their work is undertaken to the documented standards, within timescales and to high levels of user satisfaction.
4. Responsible for ensuring all planned and reactive maintenance tasks are accurately and completely closed, with the required evidence, on the CAFM system.
5. Responsible for supporting the schedule of planned activity for statutory compliance is correctly uploaded within the Planned maintenance programme.
6. To understand the technical nature of the work we undertake.
7. To assist driving performance and efficiency.
8. To answer incoming calls (and emails) for Estates (between 0800 - 1700 weekdays) in a friendly and professional manner, updating the Helpdesk and CAFM system and allocating reactive jobs, providing updates and technical detail to requesters.
9. Log Estates requests and provide assistance to the helpdesk as required.
10. Review compliance and PPM technical paperwork, upload and close when all contract requirements are met, log remedial works and track completion within the appropriate timeframes.
11. Responsible for purchasing and procurement for Estates teams through Guided Buying and purchasing systems. Appropriately raise purchase orders in line with Serco policy and in line with delegated authority levels. Ensure relevant invoices are correctly receipted.
12. To support and take notes in meetings, either face to face or via Teams as required.
13. Manage the Estates filing systems, and any other ad-hoc administration requests as required.
14. Support or deliver the production of reports and activities in support of contract governance as requested.
15. Provide administration support.
What you'll need to do the role:
1. Previous experience working within a similar FM role or environment.
2. Technical understanding of building services.
3. Excellent communication skills - builds strong relationships within the team and across the contract. Possesses excellent written and verbal communication skills.
4. Highly detailed, conscientious and delivery focused.
5. Excellent organisational ability with superior time management skills and the capacity to work independently to deliver results with initiative, responsibility and discretion.
6. Demonstrates a flexible approach to work, is self-motivated with the ability to juggle multiple priorities.
7. Excellent IT skills, particularly in MS Outlook, Excel, Powerpoint and Word.
8. Concept Evolution or CAFM experience is desirable, however full training will be provided.
9. Able to understand purchasing systems.
10. Attention to detail.
