You will be responsible for undertaking a wide range of reception and administrative duties and providing general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, patient registration, booking appointments, processing information (electronic and hard copy), and assisting patients as required. You will act as the central point of contact for patients, distributing information, messages, and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
Main duties of the job
The following are the core responsibilities of the receptionist/administrator. There may occasionally be a requirement to carry out other tasks depending on workload and staffing levels:
1. Maintaining and monitoring the practice appointment system
2. Processing personal, telephone, and e-requests for appointments
3. Answering incoming phone calls, transferring calls, or dealing with callers' requests appropriately
4. Signposting patients to the correct service
5. Processing incoming and outgoing mail
6. Initiating contact with and responding to requests from patients, team members, and external agencies
7. Processing referrals to external agencies such as secondary care using the electronic referral system
8. Reading coded data on System One
9. Filing and storing records as required
10. Data entry of new and temporary registrations and relevant patient information as required
11. Inputting data into patients' healthcare records as necessary
12. Scanning patient-related documentation and attaching scanned documents to patients' healthcare records
13. Managing all queries (including administrative queries) efficiently
14. Maintaining a clean, tidy, and effective working area at all times
15. Monitoring and maintaining the reception area and notice board
16. Supporting all clinical staff with general tasks as requested
