We are seeking a highly organized and detail-oriented Maintenance Coordinator to join our team in an administrative and clerical capacity. The ideal candidate will play a crucial role in supporting the maintenance department by coordinating schedules, managing work orders, and ensuring effective communication between maintenance staff and other departments. As the Maintenance Coordinator, you will be responsible for maintaining accurate records, monitoring inventory levels of supplies and equipment, and assisting in the preparation of reports related to maintenance activities. You will act as a central point of contact for maintenance requests, facilitating timely responses and follow-ups to ensure operational efficiency. The position demands excellent communication skills, both verbal and written, to liaise with vendors, contractors, and internal teams effectively. Candidates should be comfortable working with various software applications, including maintenance management systems and Microsoft Office Suite. Responsibilities
* Coordinate and schedule maintenance work orders and service requests to optimize resource utilization.
* Maintain detailed records of maintenance activities, including equipment repairs and inspections.
* Serve as a primary point of contact between maintenance staff, vendors, and other departments.
* Track inventory levels of maintenance supplies and initiate reorder processes as needed.
* Assist in preparing maintenance reports and documentation for management review.
* Follow up on outstanding maintenance issues to ensure timely resolution.
* Support the maintenance team with clerical tasks such as filing, data entry, and procurement processing.
Requirements
* Proven experience in an administrative or clerical role supporting maintenance or facilities teams.
* Strong organizational skills with the ability to prioritize multiple tasks effectively.
* Excellent verbal and written communication skills for coordinating with diverse stakeholders.
* Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
* Familiarity with maintenance management software or systems is highly desirable.
* Ability to work independently and as part of a team in a fast-paced environment.
* Attention to detail and accuracy in record-keeping and reporting.
