Job Summary
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will possess strong administrative skills and have experience with various office software, including Microsoft Office and Xero. This role is essential for ensuring the smooth operation of our office, factory and shop. Also providing support to staff, and maintaining efficient administrative processes.
This job is office based only - Monday to Friday 8am to 5pm.
28 days holiday.
3 month probationary period.
Responsibilities
* Manage day-to-day office operations, ensuring a well-organised and efficient work environment.
* Perform data entry tasks accurately and in a timely manner
* Holiday cover for other office team members.
* Record Holidays and Sickness.
* Purchase Office Stationary.
* Ensure leads and enquiries are directed to the appropriate personal and assist with follow up / samples etc. Logging of the lead and update any actions taken in real time.
* Maintain filing systems and ensure all documents are properly archived physically and on the server.
* Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
* Assist with bookkeeping tasks using Xero, including invoicing and expense tracking as required.
* Prepare reports and presentations using Microsoft Office and Google Workspace tools.
* Support team members with clerical tasks as needed, fostering a collaborative work atmosphere.
* Coordinate meetings, appointments, and travel arrangements for staff members.
* Carry out research projects for equipment, ingredients etc.
* Create Purchase Orders.
Requirements
* Proven administrative experience in an office setting.
* High level of confidentiality.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
* Familiarity with Google Workspace applications (Docs, Sheets, Drive).
* Strong organisational skills with the ability to manage multiple tasks simultaneously.
* Excellent typing skills with attention to detail for data entry tasks.
* Previous clerical experience is advantageous.
* Ability to communicate effectively both verbally and in writing with clients and team members.
* Ability to remain calm under pressure.
