Role: Yard Services Administrator Contract: Permanent Location: Dromore, Northern Ireland Job Summary Weare seeking a Yard Services Administrator who will provide essentialadministrative support to our busy team, built up of yard staff and logisticsteams. The successful applicant will be responsible for ensuring accurate dataentry across multiple systems, managing payroll-related documentation,coordinating fleet and travel logistics, as well as maintaining the dailyefficiency of the office environment. This role requires someonewho is detail-focused, efficient, and confident managing multiple taskssimultaneously. You will thrive in a deadline-driven environment, contribute toprocess improvements, and provide reliable support to ensure the team operates smoothly. Key Responsibilities : The Yard Services Administrator shall: Process and manage weekly timesheets for yard staff, ensuring accurate recording of hours and precise cost allocation. Calculate and track gross cost timesheets. Manage credit card allocations and reconcile expenses and petty cash. Process "U-charges" for lost equipment (e.g., chains, shackles) and issue site notifications. Provide administrative backing for all yard and logistics operations. Assign fleet numbers and manage lorry cost code allocations. Facilitate the transfer of plant (machinery and equipment) on internal systems. Maintain vehicle compliance by managing tax renewals. Oversee equipment safety cycles (e.g., 6-monthly inspections) and proactively inform relevant sites of upcoming requirements. Maintain the management system, including entering new inventory items and marking up reports. Assign and manage Works Order numbers. Process daily reports, resolve related queries, and update digital systems. Manage facility access via key fobs and track associated data. Coordinate travel bookings, including hotels and transport for staff. Manage stationery orders and maintain office inventory levels. Handle the day-to-day running of the office, acting as the primary contact for general queries. This job description is intended to give the post holder an appreciation of the role envisaged for the Yard Services Administrator and the range of duties to be undertaken. Specific tasks and objectives will be agreed with the post holder at regular intervals Person Specification Essential Strong administrative experience and an enthusiasm for personal and professional development. Excellent organisational skills with the ability to manage multiple tasks and deadlines. Demonstrate a high level of attention to detail Competent IT skills with experience using Microsoft Office (Word, Excel, Outlook, PowerPoint). Ability to work both independently and as part of a collaborative team. Strong communication skillsverbal and written. A proactive, flexible, and positive attitude. Demonstrate an ability to develop innovative solutions to work related issues Possess the ability to take responsibility and be able to respond quickly to issues raised Desirable Experience in EPR/Plant management software. Previous experience in a yard, plant hire, or construction logistics. Ability to manage multiple administrative streams simultaneously. High accuracy in data entry and payroll processing.
