My client are a dynamic and fast-growing construction company with a newly established, modern office. Due to continued growth, they are looking for a Bid Administrator to support the bid team and help coordinate the end-to-end bid process.
The Bid Administrator will provide administrative support to the preconstruction and estimating teams, ensuring the smooth coordination of tender submissions.
The role is responsible for managing team diaries, controlling and filing documentation received as part of the tender process as well as supply chain quotations received for each tender. Reporting directly to the Head of Preconstruction, this position is critical in ensuring client deadlines are met, records are accurate, and bid processes are delivered to a high standard.
Duties and Responsibilities
Diary Management
• Coordinate the preconstruction calendar for the bid submission team, scheduling reviews, meetings, interviews and submission deadlines
• Anticipate conflicts and propose alternative arrangements
Tender Documentation Management
• Receive, acknowledge, download and file on SharePoint all tender documentation, including addendums and correspondence
• Maintain accurate version control of documents, including electronic and hard copies
• Ensure document distribution to the bid submission team and supporting Heads of Departments
• Liaise with the preconstruction and estimating team on bid information and key tender dates including interviews and submission dates
Supply Chain Quotation Management
• Record and file quotations received from subcontractors and suppliers in Outlook and SharePoint
• Ensure quotations are logged, categorised and retrievable by the relevant Estimator
Bid Submission and Administrative Support
• Assist in preparing bid-related documentation including questionnaires, project profiles, client presentations, agendas and meeting minutes
• Assist with uploading and downloading information from client and tender portals
• Provide ad hoc administrative support to the preconstruction and estimating teams
• Ensure brand management and corporate identity guidelines are adhered to
• Maintain control procedures in accordance with Integrated Management Systems ISO 9001, ISO 14001 and ISO 45001
• Ensure construction project photography is up to date and stored correctly on SharePoint
Education and Training / Key Skills / Experience
• Strong organisational and time management skills
• Excellent attention to detail and accuracy
• Good written and verbal communication
• Competence in Microsoft SharePoint, Outlook, Word, PowerPoint and Excel (preferred)
• Driving licence
• Previous administrative experience essential
• Experience in construction, engineering or professional services environments preferred
• Familiarity with document control or tender processes advantageous
