<div><h3>Job Description</h3><h3>Administrator</h3><h3>Worcester Clinic - WR1 1JT</h3><h3>Permanent</h3><h3>£26,800 dependant on experience + excellent benefits</h3><h3>Full Time - 40 hours</h3><h3>Shift patterns: 08:00 - 16:30 (Mon - Fri)</h3><h3>Onsite</h3><p>Working in our support functions youll play a key part in helping our customer facing colleagues deliver exceptional standards patient care. Making a difference to the lives of our customers each and every day.</p><h3>Role Overview</h3><p>To ensure all reception and administrative activities in the Bupa centre are carried out efficiently and effectively.</p><p>To contribute as a support network in providing outstanding customer service to our customers (adults and children) every time they touch base with us.</p><p>As a Bupa Clinics Administrator and Receptionist, youll play a vital role in ensuring smooth operations within the clinic. As well as the background administrative tasks you will meet and greet our customers, making them feel at ease and comfortable. You will thrive on delivering exceptional customer service, even under challenging circumstances.</p><h3>Youll help us make health happen by:</h3><ul><li>Greeting and welcoming customers and supporting the customer journey throughout the centre right through to a thorough checkout.</li><li>Answering, screening and forwarding incoming customer queries via phone calls and proactively managing local mailbox and emails.</li><li>Proactively maintaining a well presented reception and waiting areas.</li><li>Ensuring customer reports are dispatched from centres within the desired time frame, including effective management of abnormal results.</li><li>Ensuring all customers have the correct paperwork to support their visit – appointment packs (where applicable), clinical file preparation and consent forms.</li><li>Effective results management (including receiving, scanning, and uploading) and follow-up of suppliers to ensure turnaround within the agreed SLA.</li><li>Ensuring all customer details are correct, customers are arrived, appointments booked, changed, and rescheduled on EXACT/BOSS/Meddbase. Processing of payments, invoices, added charges and credit notes upon customer departure.</li><li>Organising self to ensure a quick turnaround of documents, working in date order and prioritising to meet deadlines.</li><li>Assisting in bookings of mammograms and MSK referrals (where delivered at the centre).</li><li>Post – collecting, opening, date stamping, distributing incoming post, and posting outgoing post.</li><li>Generating letters as required by the business.</li><li>Monitoring stocks and ordering goods when required.</li><li>Processing invoices/delivery notes as per Bupa policy.</li><li>Playing an active part in ensuring well‑presented facilities through pro‑activity and effective escalation as and when required.</li></ul><h3>Key Skills / Qualifications needed for this role:</h3><ul><li>Proven experience delivering exceptional, client focused customer service in person such as in retail, hospitality or in a similar role as a Receptionist.</li><li>Brilliant interpersonal and communication skills, able to quickly build rapport and put people at ease.</li><li>Great time management and flexibility, youll need to switch tasks and support where needed throughout your shift.</li><li>Excellent attention to detail and understanding of the various Microsoft office packages.</li><li>GCSE level or equivalent.</li><li>PC literate – proficient in MS Office packages.</li><li>Excellent communication (written and verbal) and interpersonal skills.</li><li>Team working experience.</li><li>Audio Typing.</li><li>Knowledge of Medical Terminology (desirable).</li></ul><h3>Benefits</h3><ul><li>Equivalent to 25 days holiday per year, increasing through length of service, with option to buy or sell.</li><li>Bupa health insurance as a benefit in kind.</li><li>An enhanced pension plan and life insurance.</li><li>Annual Health Services Bonus Scheme.</li><li>Support with travel costs via a season ticket loan or cycle2work.</li><li>Various other benefits and online discounts.</li></ul><p>Bupa is a Level 2 Disability Confident Employer.
