EA – Infrastructure Team – 12-month FTC

A leading West End based property firm is looking for a highly skilled, dynamic EA to come in and join the infrastructure team on a 12-month FTC. This role is predominantly supporting two equity partners and the wider team. Role:
\t
* Manage and maintain the two Equity Partners diaries and commitments who oversee the running of SC1 as a whole, including travel, dinners, debentures, away days, meetings & presentations and updates, along with supporting the SLT (Senior Leadership Team) and the senior C&C Partners.
\t
* Proactively manage and maintain diaries, making appointments and co-ordinating internal and external client meetings and ensuring all work activities are scheduled effectively, including the identification and resolution of potential challenges and clashes.
\t
* Arrange overseas and regional travel and hotel arrangements via online agent and where required direct with the hotel or airline. Arrange the booking of meeting rooms, video / conference facilities, refreshments, restaurants, taxis etc. and liaise with internal and external meeting attendees. Responding and dealing with external or internal telephone calls and queries in a professional manner, taking clear and concise messages. Taking a proactive approach to correspondence e.g. dealing with issues or drafting responses before being asked.

* Produce circa 120 monthly invoices, credit notes etc. via template system (Ms Excel) and maintain fee register and enrichment requirements.
\t
* Actively co-ordinate and monitor invoicing progress with the Partners to hit weekly deadlines, chasing where necessary and using initiative to get responses.

* Being the go-to person for your team with all queries / issues and responding and directing them to the appropriate individuals / resources when needed.
\t
* Processing invoices received from sub-consultants and contactors and tracking monthly forecast figures V actuals on tracker and ensuring all approvals have been received for payment to be made.
\t
* Working collaboratively with a ‘can do’ attitude to solve problems and provide an excellent service to internal and external clients.
\t
* Any other ad hoc duties as and when required, including support to other Team Assistants including providing cover for leave / sickness.
Candidate Requirements
\t
* Strong PA/EA experience, preferably at a senior level
\t
* Advanced in Microsoft Office essential. Ms Excel is used predominantly
\t
* InDesign experience ideal but not essential (training provided)
\t
* Excellent attention to detail
\t
* Strong interpersonal skills
\t
* Friendly, genuine and a team player
\t
* Happy dealing with numbers
\t
* Must be immediately available or have under two week’s notice
\t
* Happy being fully office based
