Responsibilities
To provide a proactive, efficient and effective customer-focused service to Undergraduate, Postgraduate and Language Centre applicants to the University, from application through to registration and to contribute to student recruitment. To undertake a high level of administrative and analytical activities from application to enrolment, including assessing academic and English Language requirements; visa eligibility; fee status assessment; and maintaining data integrity and accuracy of records. Liaise with Academic staff on borderline applications and manage the Selection Day processes.
The Admissions Office is organised into Undergraduate, Postgraduate, DBS & Scholarships and Systems teams, with the Admissions Officer role in the Undergraduate and Postgraduate teams. You may be allocated work outside of your team depending on priorities. This post is responsible for monitoring and ensuring that all College applications are assessed in a timely manner, records are up to date and emails are responded to professionally. Take a key role in annual Confirmation, Clearing and Registration activities through July to September including: implementing confirmation processes to confirm students, making offers through UCAS clearing; handling a very high volume of telephone, email and Live Chat queries in a time-critical manner; supporting the Student Centre in registering students during Welcome Week; some mandatory overtime (including some weekend working) to meet objectives; and adhering strictly to the UCAS embargo to ensure compliance. This is a varied role requiring initiative and an independent approach. The Admissions Officer is encouraged to contribute to the strategic development of Admissions and the processes involved to ensure a competitive service.
Decision Making: As a member of a centralised Admissions Office, this post undertakes admissions tasks required for processing student applications, ensuring a professional, responsive service to potential students, agents, advisors, and families.
Respond accurately to enquiries face-to-face, by telephone, in writing, by e-mail and through a Live Chat service, providing accurate advice on available programmes, entry requirements and admissions policies and processes. Maintain effective working relationships with colleagues across the Student Journey Team. Liaise with Student Finance, Accommodation and the Student Centre on behalf of applicants. Be aware of the Language Centre course provision and advise potential students of suitable Pre-Sessional English courses. Act as a key communication link to applicants and agents for advice on entry standards and qualifications; consult with UKENIC and Student Recruitment Managers as needed. Provide accurate immigration advice to International applicants requiring a Student Visa, with complex cases referred to the Compliance team. Prepare accurate Confirmation of Acceptance for Studies (CAS) numbers in accordance with UKVI regulations and verify evidence to ensure only genuine students are issued with a CAS. Support the Admissions Manager and Senior Admissions Officers by using eVision reports to determine workload priorities and collaborate with College teams to meet goals. Provide administrative support to all aspects of Registration activities for Language Centre, Undergraduate and Postgraduate programs as required, ensuring documents are checked, scanned correctly and that International students meet UKVI requirements for enrolling in higher education.
Additional requirements include effective planning, organisation and time management skills, the ability to handle multiple tasks and competing deadlines, excellent attention to detail, and the ability to work under pressure and remain calm during busy periods.
Qualifications
* Degree or substantial, relevant administrative experience
* Educated to at least A level or equivalent
* Previous Admissions Officer experience
* Substantial administrative experience in a customer-focused role
* Experience of working in higher education
* Experience of working in a busy office environment as part of a team
* Use of computerised record keeping system, preferably SITS
