VoucherCart Ltd is seeking a highly organized and detail-oriented individual to join our team as Office, Print, Post and Administration Assistant. Working from our Edinburgh offices based at the Meadows, Edinburgh EH8 9LZ, you will play a crucial part in ensuring the smooth execution of our print and post activities. The ideal candidate will have strong attention to detail, and excellent organisational skills. Responsibilities: Print Coordination: Handle daily printing and scanning of vouchers and cards. Work with external printing vendors to ensure timely and accurate production of stationery for our customers. Manage orders of voucher stationery from our customers and place orders for stationery from external printing companies. Post Handling: Handle the preparation and packaging of outgoing mail and packages. Coordinate the packaging and shipping of vouchers and cards. Liaise with shipping carriers for efficient and cost-effective delivery. Quality Control: Conduct quality checks on printed materials to ensure accuracy and adherence to brand guidelines. Ensure 100% accuracy of outgoing mail for proper addressing and postage. Inventory Management: Keep track of print and postage supplies and contact customers as required to request reorder/restocking. Maintain organised storage for printed materials. Maintain office supplies Communication: Collaborate with internal teams to gather printing requirements. Communicate with external vendors to address any issues or special requests. Communicate with customers and the internal design team to create voucher designs, obtain design sign-off from customers, and organise shipment. Additional Activities (Depending on Experience): System and customer database management Social Media: Content production and posting on social media Requirements: Excellent attention to detail, quality control, and organisational skills. High school diploma or equivalent; additional education in print management or related field is a plus. Proven experience in print coordination and post-handling is a plus. Familiarity with printing technologies, and mailing systems. Effective communication skills and ability to work collaboratively. What a typical day looks like: Printing and packaging postal voucher orders placed the previous day from various customers Visting Post Office to dispatch printed orders. (Same time daily) Check if there are any new requests from customers regarding new voucher orders/designs Check vouchers stationery and card stock levels and communicate with customers to ensure stock levels are sufficient by placing new orders. Handle stationery orders from external printing companies and ship to VoucherCart office/customer location. Check office stock levels/inks/markers/coffee /other and re-order when needed. Working Hours 12pm to 3pm. (January to October) - 10 Months 9.30am to 5.30pm (November and December) - 2 Months Salary Salary: £13 per hour ( 3 hours/day with extra hours (as required during peak times).
