Job Title: Administrative Assistant Location: Ty Dysgu, Nantgarw (hybrid working) Hours: 37.5 hours per week Duration: Until September 2025 (Temporary) About HEIW: Health Education and Improvement Wales (HEIW) is looking for a proactive and organised Administrative Assistant to join their Specialty Training team. This is an excellent opportunity to support the planning and delivery of a wide variety of training programmes and projects within a busy and rewarding environment. The Role: The Administrative Assistant will provide crucial support to the Secondary Care Training Section, postgraduate doctors in training, training leads, and the Specialty Schools. This varied role will involve a range of administrative duties, including supporting school events, managing data, and providing general support to the wider team. Key Responsibilities: Provide information to a broad range of stakeholders, including Trainee Doctors, Training Programme Directors, and Health Board colleagues. Ensure accurate recording and maintenance of all trainee information on the training database (Intrepid – training provided). Support the planning and execution of school events, including room bookings, liaison with event leads, ordering catering, processing invoices, and providing on-the-day operational support (meet & greet, refreshments). Undertake data collection, data inputting, and data cleaning tasks. Monitor and manage a busy email inbox and phone line on a rota basis. Provide overall administrative support to the wider team and stakeholders, working collaboratively as part of an administrative pool. Competently use Microsoft IT packages, particularly Word, Excel, Planner, Forms, and Outlook (training on internal systems will be provided). What We're Looking For: Experience in an administrative role is essential. NHS experience is desirable but not essential. Strong initiative and a proactive approach to work. Excellent people and communication skills (both written and verbal). Good organisational skills and the ability to manage workload effectively. Experience of entering and maintaining accurate data systems. Ability to work both independently and as part of a team. Self-motivated with a flexible approach to work. A respectful and inclusive approach to all. Qualifications: NVQ level 4 Diploma in Business Administration or equivalent experience. Evidence of recent Personal and Professional Development.
