Role Overview
Key responsibilities include recording meeting minutes and tracking actions to completion within deadlines, preparing and formatting professional presentations, and producing reports from management information. The role handles correspondence, raises purchase orders, manages diary and time across stakeholders, and acts as a primary point of contact for communications.
Responsibilities
* Accurately record meeting minutes and track actions to completion within deadlines, particularly for leadership and communication forums.
* Prepare, consolidate, and format professional PowerPoint presentations for internal and external use.
* Interpret management information to produce comprehensive reports reflecting group-wide activities.
* Manage correspondence to arrange meetings and gatherings, providing relevant information to stakeholders.
* Raise purchase orders and monitor delivery progress to ensure timely procurement.
* Oversee diary and time management, including scheduling meetings across internal and external stakeholders.
* Serve as a primary point of contact for internal and external communications.
* Coordinate meetings via multiple platforms (e.g., Microsoft Teams), including agenda preparation, briefing documentation, and pre-meeting material distribution.
* Coordinate high profile visits including presentation preparation, tour planning, catering arrangements, and room bookings.
* Travel and accommodation management, including budget management.
* Maintain and process expense claims in accordance with company policy.
* Coordinate internal communication initiatives.
Essential Criteria
* Proficient in use of Microsoft Outlook, Word, Excel and PowerPoint.
* Ability to handle confidential matters effectively, maintaining tact and diplomacy when required.
* Strong organisation skills and the ability to prioritise effectively.
* Ability to communicate effectively (both verbal and written) at all levels.
* Ability to work independently and use own initiative when required.
Desirable Criteria
* Enthusiastic and motivated team player.
* Previous experience operating in a manufacturing environment.
* Previous experience in an administrative role.
* Experience working in customer facing role.
* Be able to anticipate the needs of the General manager to ensure seamless support and time management.
