Radius is recruiting for an ASite Document Controller / Project Coordinator who aims to transition into Project Management. This position will be part of the Project Management team within a Data Centre.
Job Purpose
The Project Coordinator is responsible for supporting the Development & Construction team in all aspects of project management, contract administration, and coordination of projects and works. This includes ensuring smooth communication, accurate recording, and effective scheduling. A key aspect of this role involves managing the electronic document management system - ASite. The role includes overseeing the system's structure, supporting end users, and ensuring all project documentation is properly named, processed, filed, and easily traceable.
Key Tasks
1. Support the Development & Construction team to ensure smooth daily operations, manage the team calendar, and scheduling.
2. Establish strong working relationships with key stakeholders to facilitate effective communication across project teams, consultants, suppliers, and other departments.
3. Assist Project Managers in producing reports on project dashboards.
4. Help produce project-related presentations, visual materials, and documentation.
5. Ensure project deliverables are produced and documented according to schedule, and communicate with stakeholders accordingly.
6. Arrange and support portfolio and project meetings, take minutes, distribute action points, and follow up on tasks.
7. Create and maintain project directories.
8. Coordinate, collaborate, and control versions of project documentation, including RFI, technical submittals, design notes, CAD and BIM files, reports, specifications, tender and contract documents, programs, instructions, and commissioning data.
9. Manage document naming conventions, workflows, and system structure; generate document numbers and maintain an accurate document register.
10. File, update, and coordinate drawings and support documents for easy stakeholder access and auditing.
11. Ensure timely processing of documents, stakeholder management, approval obtaining, and reporting on document status.
12. Generate system-based reports regularly and as needed.
13. Issue communication status updates regularly.
14. Maintain user access registers, manage user addition/removal, and provide user support.
15. Create project schedules using MS Projects.
16. Perform any additional duties as assigned.
PERSONAL PROFILE
• Proven experience as an ASite administrator with proficient system usage skills.
